What You'll Do:
Under general supervision, operates intelligent, high-speed mail pro-cessing system (i.e., intelligent, high-speed printer, burster, folder, in-serter, scale & postage meter) in order to prepare & process time sensi-tive essential documents (e.g., Public Assistance (PA) & Temporary Assistance to Needy Families (TANF) warrants, medical identification cards & Client Registry Information System-Enhanced (CRIS-E) or SETS client notices, Medicaid provider warrants, statements, computer printouts, OJI notices, Unemployment tax statements, benefits notices, warrants & 403s) for mailing in Large Mailing Operation (LMO): man-ually breaks down, separates &/or prepares documents too large for mail processing system (e.g., inserts in envelope, weighs, meters &/or prepares for mailing); resolves discrepancies on machine diverted war-rants; completes job logs for each individual job processed; selects ap-propriate job type & sub account for automated DFWorks program; sets up equipment/system for operations; randomly checks finished mail pieces to ensure quality control is being met; makes sure that correct envelopes, postage & if necessary inserts are included in each job pro-cessed; keeps work area supplied with envelopes, trays & other needed equipment or supplies; keeps area clean, empties trim wind totes as needed; prepares processed mail pieces for pick up by presort vendor; shrink wraps pallets of mail; makes minor repairs to equipment; checks supplies; checks documents &/or equipment to maintain quality control; consults with on-site service representative to resolve problems.
Receives, inspects & records new materials & supplies, equipment & furniture arriving in State Printing & Mail Services warehouse: main-tains accurate records of incoming & outgoing items; confirms receipt & delivery; schedules, prepares & assists with loading & unloading of supplies being delivered; pulls & stages daily production materials us-ing forklift &/or pallet jack; develops & maintains stocking parameters, usage data & reorder thresholds; maintains accurate & up-to-date in-ventory of supply & warehouse items; manages inventory levels & ap-proves order for print materials; develops, implements & enforces warehouse procedures; maintains databases for inventory control of warehouse; maintains warehouse in clean, orderly & secure condition; monitors asset movement & transfers; coordinates salvage disposal of obsolete & worn out assets; empties vacuum system receptacle as needed; prepares recyclable materials for pick-up.
Prepares necessary encumbering documents & reconciles inventory: assigns asset numbers & tags acquired assets; pulls & copies purchase orders, invoices & vouchers & analyzes for accuracy; perform physical inventory of print materials weekly; performs physical inventories of equipment & furniture for office as needed.
Prepares clerical tasks: receives & stores stock & files; keeps logs of items distributed; gathers supplies (e.g., paper, forms, warrants, labels) from print shop & storeroom to prepare mailings; drives State vehicle to deliver materials to state agencies & post office upon request; other duties as assigned.
