Position Overview

We are seeking a suitably qualified and experienced Office Manager to organise and control the administrative functions and resources of our Sydney office, ensuring efficient support of logistics operations and compliance with relevant regulatory requirements.

Key Responsibilities

• Contribute to the planning, organisation and review of office administration services, setting daily priorities and service standards to support logistics operations.

• Allocate and manage office resources including workspace, IT systems, communication tools, filing systems and administrative equipment.

• Assign administrative duties to the part-time employee and monitor completion, accuracy and timeliness of tasks.

• Maintain and manage office records including client files, supplier records, freight documentation archives, service agreements and compliance registers.

• Manage office accounts and administrative finance processes, including invoices, expense tracking, payment follow-ups and reconciliation support for the Director and external accountant/bookkeeper.

• Liaise with external professionals (including accountants, IT support providers, insurance brokers and industry service providers) to coordinate office business and resolve operational matters.

• Ensure office equipment, systems and supplies are maintained and available, including printers, telecommunication systems, laptops, stationery and software subscriptions.

• Ensure compliance with workplace health and safety requirements and maintain relevant incident registers and safe work practices.

• Ensure office procedures comply with relevant government legislation, policies and regulatory requirements, including privacy obligations and business record-keeping standards.

• Coordinate personnel activities for the part-time employee, including onboarding, rostering, payroll coordination, leave records, performance monitoring, basic training and supervision.

• Support the Director by maintaining structured office workflows that enable smooth coordination between administrative functions and logistics service delivery.

Skills and Qualifications

• A minimum of a Diploma (or higher qualification) in Business, Management or a related field, and at least one year of full-time relevant work experience;

OR

At least three years of full-time relevant work experience in office management or a closely related field.

• Demonstrated experience managing office administration functions in a logistics, freight forwarding, trading or similar commercial environment.

• Strong organisational, communication and problem-solving skills.

• Ability to manage records, accounts and compliance documentation accurately and efficiently.

• Sound knowledge of workplace health and safety and general business compliance requirements.

• Proficiency in Microsoft Office and common business systems.

• Ability to coordinate across global offices and work with international stakeholders — proficiency in Turkish is preferred (due to collaboration with Turkiye Head Office).
