Job Title: Assistant Community Manager
Reports To: Community Manager
Position Summary
The Assistant Community Manager supports the daily operations of the apartment community and reports directly to the Community Manager. The primary responsibility of this role is the leasing of apartments in accordance with InterMark policies and procedures. Additional responsibilities include administrative support, resident relations, property oversight, and assuming management duties in the absence of the Community Manager.
This position is considered an apprenticeship to community management. The Assistant Community Manager is expected to learn and perform all duties of the Community Manager and to assume all responsibilities of the Leasing Consultant when necessary. A thorough understanding of the Employee Handbook, InterMark Risk Management Manual, and all on-site Policies and Procedures is required.
Essential Duties and Responsibilities
The duties listed below are representative of the position but are not all-inclusive.
Leasing & Sales
Lease apartments directly to prospective residents when the Leasing Consultant is unavailable.
Follow up with qualified prospects and assist with closing techniques.
Introduce the Community Manager to prospects and involve them in second-close efforts when appropriate.
Monitor the effectiveness of personal leasing techniques and seek ongoing training to improve performance.
Personnel Management
In the absence of the Community Manager, ensure staff compliance with InterMark policies and procedures.
Enforce and manage after-hours and weekend staffing schedules when assigned.
Maintenance & Physical Asset Oversight
Conduct daily property inspections in the absence of the Community Manager or as assigned.
Prepare and process work orders, coordinate with maintenance staff, and arrange for outside contractors or vendors as needed.
Meet with the Maintenance Supervisor (8:30 a.m. and 5:00 p.m.) to review work assignments and progress when acting in the Community Manager’s role.
Routinely inspect maintenance work for quality, timeliness, and cost efficiency.
Assist with and/or schedule market-ready unit inspections and repairs, obtaining upper management approval when required.
Identify and report needed repairs, replacements, and improvements to the Community Manager.
Coordinate and inspect work completed by outside contractors and vendors to ensure satisfactory completion.
Resident Relations & Management
Assist with resident move-in and move-out procedures.
Maintain high standards of resident relations and ensure consistent enforcement of community policies.
Manage rent collection efforts, including delinquency follow-up, notices, and evictions.
Implement and manage the lease renewal program.
Assist with and attend community-sponsored resident activities.
Administrative Responsibilities
Handle on-site emergencies in the absence of the Community Manager and report hazardous situations promptly to appropriate management.
Approve and process invoices daily for submission to the Central Office when assigned.
Monitor employee time sheets, prepare payroll documentation, and submit in compliance with deadlines.
Log daily activity and generate required weekly and monthly reports, ensuring accuracy and timeliness.
Review and verify reports received from the Central Office and distribute per established procedures.
Manage petty cash funds and request reimbursement as required.
Coordinate competitive pricing and purchase of property supplies and services according to company policies.
Assist with maintaining an up-to-date inventory of office, model, maintenance, and equipment assets.
Prepare and make daily bank deposits.
Post rents and maintain accurate on-site resident accounting files.
Marketing
Assist in generating leasing traffic through assigned marketing initiatives.
Conduct and participate in regular market surveys.
Provide recommendations to improve leasing and marketing programs.
