• Independently handling purchase of capital and consumable materials for engineering and maintenance product.

• Sourcing out materials & services for on going production & projects from domestic market as well as international market.

• Cost saving analysis based on technical evolutions with features comparison.

• Preparing Tenders/RFQ and sending it to registered vendors, obtains quotations for purchase of materials, components, equipment or services. Negotiating with the vendor for best rates, delivery and other terms before placing purchase/Service/Work orders to approved vendors etc. Preparing and keeping records of Variation Order & Call-out Order issued against the Contracts Issued.

• Coordinating with Technical Department for Technical Approvals/Evaluation after the tenders is issued and getting their approvals on Technical Bid before the price bid is opened. Commercial Evaluation & issue of Contract to successful parties.

• Making comparative statements, negotiating with suppliers. Preparing Application Form for getting Essentiality Certificate from Director General of Hydrocarbons (DGH) & Coordinating with Custom Clearing Agent for Customs Clearing of the consignment upon arrival & for essentiality certificate from DGH.

• Follow up with the vendors to ensure delivery of the materials orders with the delivery schedule & keeping end users informed on the order status.

• Handling Data and Generating Reports as per the requirement of the top management. Maintains accurate and up-to-date records through systematic filing for auditing and future references.

• Maintaining list of purchase Order issued, EC obtained for imported goods and for goods imported on rental basis

• Cash purchase of low value non-stock items, which are required urgently.

• Vendor database management.

• Vendor follow – up for on time supply of materials.

• Identification of supplied material as per P.O. and make documentation for payment process.

• Ware house documentations to keep track on inventory management.

• Monthly inventory audit and quarterly third party audit ( e.g .KPMG Audit, DGH Audit)

• Logistic co-ordination and management for day to day activities.

• Dealing with approved parties for disposal of obsolete, non – usable material as well as waste disposal management.

• Coordinating with Govt. authorities like DGMS, DGH, Pollution control board.

• Man power management for various day to day requirements.

• Keeping proper record of inventory using ERP System (ideas) and Excel. Reconciliation of inventory, maintain records of all card system and computerized inventory control.

• All Materials Management & Finance procedure are through ERP Systems called Ideas developed by IDEAS International, Inc., a division of WellPoint Systems, Inc. IDEAS is a multinational software development company serving a worldwide client base from offices in the U.S. and overseas.
