Job Title: Secretary/Receptionist (Administrative Assistant)

Duties: *Check the reimbursement totals allocated to each school and correlate those totals to the government reimbursement sent from the State Department and submit these claims to the Treasurer’s Office. Compile and submit copies of all revenues, posted sales and CSI journal entries to the bookkeeper. Work with the bookkeeper in reconciling problem accounts. *Collect data and complete SLP2 Reports, SLP4 Reports and all other School Food Service Reports. Prepare and e-mail and end-of-the-year reports to the State Department. *Collect and compile bills for all schools. This required totaling the bills, coding with proper account numbers and matching statements and invoices for accuracy sometimes having to negotiate with vendors. Check the accounts for the district’s schools for accuracy and turn in to accounts payable for payment. *Submit requisitions to the finance department for purchase orders. Order and distribute food, supplies and materials needed to operate the School Food Service Program to lunchroom managers, principals and secretaries. *Schedule meetings and appointments. *Type and forward all Food Service Bids followed by award and regret letters. *Notify each school when there are changes in daily activities. *Maintain a substitute workers list for the cafeteria managers. *Perform all office routines and practices associated with a productive office such as creating spreadsheets, and presentations as word documents, reports and documents. *Perform other duties as assigned by the Food Service Supervisor, Superintendent and School Board. *Type all memos, letters, reports and compose correspondence for the Food Service Supervisor. *Typed and mailed menus to the Schools, Post & Courier, The Dorchester Eagle Record and Channels 2, 4 and 5. *Allocated commodities to schools. Reconciled district commodity allocations (FD3’s) to State (FD2’s) allocations. *Organized and maintained paper and electronic filing system for accountability reports, applications, memos, correspondence and other required records. Also prepared projects and disseminated information by using the telephone, mail services, Websites and e-mail. *Assisted in the verification process of meal applications and the filing of applications for the entire district. *Assisted the managers in the resolution of problems that occurred in the cafeterias. *Performed supervisory responsibilities in her absence.
