4.1 LEADERSHIP, MANAGEMENT AND ADMINISTRATIVE ABILITY
4.1.1 Supervisor for Management of Information System (MIS): Umfolozi TVET College from 2010 to April 2016.
As a Supervisor for MIS, my duties were, but not limited to, as follows:
Human Resources Management
Manage leaves for subordinates prior to approval from the Assistant Director.
Participate in shortlisting and interviewing of the new staff for the MIS department.
Ensure that all employees adhere to the code of conduct for employees, dress code and safe work practices as per Occupational Health and Safety Act.
Manage the performance of the MIS department in terms of the college personnel management and development system including performance agreements with employees, conduct appraisal, identify training, development needs for those who need to be developed.
As a teacher and a class teacher: I have been a class and subject teacher, responsible for class control, managing both human and physical resources wisely:
Classroom manager responsible for the formulation of policies in line with departmental
Teaching Social Sciences, isiZulu, Technology and Tourism.
Enforce discipline in the classroom and Pastoral care.
Responsible for registration of learners, plan, co-ordinate, control, administer, evaluate and report learner’s academic progress.
Building commitment to quality education and strong bond with learners, parents, and other departments, increasing student grades, attendance and parent involvement.
Promote teamwork in setting goals, planning activities in accordance with the school policy, vision and mission statement.
As a member of examination committee assist in the preparation, typing, duplicating, and distribution of question papers, compile sitting plan, compile invigilation time tables.
Providing feedback to students regarding their performance and progress.
As a Troop Scouter at school I was grooming young people to be responsible South African citizens.
General Supervision of the MIS department
Check the enrolment forms against the data from the system in all Campuses.
Assist the Provincial team with the data on the system and accompanying them doing the headcount in all campuses.
Compile the statistics for weekly submission to the Provincial department and National department (DHET).
Submit data for the Accumulative figure for 2014 to DHET.
Compile data for NSFAS for DHET template.
Record statistics of students given by Campuses and submit it to the Province.
Involved in compiling the statistics for Monitoring and Evaluation, for the college and submit it to the DHET.
Compile lecturer statistics after receiving examination results from the DHET.
Submit the throughput rate for results to all Campus Managers after every examination.
Verify data from the system for the new student’s enrolment before sending to the DHET.
Part of the registration committee preparing for the registration of students and strategizing was of improvement from the previous registration.
Supervise the technicians, ensuring that they are providing the necessary support to the staff when it is needed.
Ensure that the calls that are logged to the call centre is well distributed to the technicians.
To create a climate or culture for instructional excellence.
Provide data for Umfolozi Operational Plan template.
Financial Management
Budget and accountable for financial matters of the MIS department as per PFMA.
Prepare orders for the department following procurement procedures and submit to the Procurement processing for further processing.
Involved controlling and drafting the budget for the MIS department before it is approved by College FINCO Committee.
Responsible for the petty cash of the department and place necessary orders whenever it needed.
Curriculum Management
Ensure that all the support is provided to the campuses that will assist in teaching and learning, such as computers in all computer laboratories.
Monitor and manage the general administration of ensuring that the student’s marks are well captured on the system, and to ensure that the standardized policies and procedures are adhered to.
Ensure that there is effective utilization of college resources e.g. computers and overhead projectors are also in a good condition so that teaching and learning is effective.
Print the control class lists for the lecturers to verify the data that is printed from the system for all students and make corrections.
Print and delivering the permanent class registers to all lecturer after making corrections from the control class lists.
Ensure that the relevant software is installed to all computer as per requirement of the subject guidelines and policies.
Ensure that all software licenses are renewed prior and are activated to assist the lecturers during the delivering of the subject matter.
Quality Management
Ensure that all the MIS and IT policies are clear and available to the College Quality system.
Ensure that the MIS and IT department is complying with quality standards set by the College.
Ensure that the procedures that are College Quality system is being followed by the users.
Make sure that the department is closing the non-conformances that are opened by the auditors during auditing.
Meetings
To attend the daily departmental meetings for the updates and attend the urgent matter that needs the attention.
To attend the College Academic board meetings, Risk meetings and Transformation committee meetings.
To attend the Provincial MIS meetings that involves all provincial colleges.
Reporting and Liaison
To report to the Assistant Director and Deputy Principal about all the activities that are taking place in the MIS department.
Communicating to the Campus Managers and Senior Lecturers about the submission dates after it has been send by DHET.
Sending all the communique to all the campuses about the changes or some cut-offs of the system if the network is down or the problem with the servers.
Communicate with the campuses about the material to be used during the registration.
4.1.2 Student Liaison Officer: From 2006 to 2010 at Umfolozi TVET College
As the Student Liaison Officer my duties were as follows:
Administrative
To prepare the bursary forms for all students who need to apply for the bursary before the registration of the resume.
To conduct the workshop for new students about filling in the bursary forms and the documents needed.
Conducting induction for all new students and invites other stakeholders and motivational speakers to address students.
To prepare the documents to be used when selecting class representatives.
Preparing the manifesto for the SRC candidates and assisting or workshop them on writing their speeches.
Conducting the Student Representative Council elections and inviting the Independent Electoral Committee for their assistance during elections.
Preparing study skills, personal skills presentations for students.
Sending invitations to other stakeholders during the awareness campaign to address students, for example (during the drug week), Health Department during the AIDS or Breast Cancer weeks.
Preparing the counselling forms and files for the students who are provided counselling.
Preparing files and forms to be used when students are borrowing College books.
Management
To ensure that the bursary forms are submitted to the Financial Aid office before NSFAS closing date.
Checking all the students’ bursary forms to make sure that all necessary documents are attached.
To make sure that students are getting all the academic support, like using computers for research, making copies.
Ensuring that there is always a provision for students when the lecturer is absent, in terms of occupying and assisting those with academic problems.
Ensuring that all counselling provided to students are treated with confidentiality.
Marketing the college to the local high schools and to the School Principals about the courses offered.
Meetings
Attending the Provincial Sports Committee, College Sports Committee.
Attending the College Student Support Services meetings.
Attending the Campus Indaba meeting for the campus activities.
Liaising and Reporting
To liaise with the all the campuses to make sure that the campus is following the standards procedures.
To write the monthly report and send it the Assistant Director-Student Support and to the Campus manager.
Reporting to the Provincial Sports Committee about the tasks given by the Provincial committee in preparation for the National Sports Tournament.
Reporting to the College Sports Committee and to the College Management for the preparations to the Provincial and National tournaments.
4.1.3 Educator/ Lecturer
As the Educator my main duties were as follows:
Teaching and Lecturing
Planning the teaching activities for my Grade.
Prepare, assess and record marks and prepare the schedule for submission.
Prepare and submit the file on specific dates to the HOD.
Prepare the progress report at the end of each term for all learners.
Preparing the work schedule for the semester, specifically for Management Communication N4 & Personal Training N5 & N6.
Preparing assessments in preparation for exams, using the Assessment policy.
Preparing POA to be used during the semester.
Extra and Co-curricular activities
School choir mistress, prepare learners for the music competitions.
School organizer for all the school functions including the education excursion for the learners.
Organizing outings and year-end functions for the staff.
To lead the Environmental committee at school and committee member within the Circuit.
Training learners on drama, poetry, reading skills and competing with other schools.
Committee member of the cultural committee within the Circuit and the Chairperson of cultural committee at school.
Organizing the beauty pageants for the school at the beginning of the year.
Coordinator of the Integrated Quality Management Systems(IQMS)
Preparing the manuals that will be used by teachers in preparation for the appraisal.
To lead in the appraisal processes of educators for quality assurance.
Training and advocacy teachers about IQMS in preparation of the appraisal and the staff development and lead the process.
Assisting staff to select their Development Support Group (DSG) and the completion of the Personal Growth Plan (PGP) forms.
To monitor the implementation of the IQMS and attend to arising Presentation skills and Administrative skills.
To co-ordinate the drafting of the School Improvement Plan.

College sports coordinator from 2007 – 2010
Lead the College team to participate in Provincial sports tournaments.
Selected to serve on the Provincial Committee as the Deputy Chairperson from 2008 – 2010.
Assisted the Provincial team to win two trophies for the Province.
Liaise with the National teams for the selected players, organizing the trials with the clubs for the players. 2009 – 2010
