Administrative/Security Assistant

Performs the duties of the Administrative Assistant for the Portfolio Management Branch. Provides staff with efficient and effective office admin support to enable the successful execution of branch missions. Serves as the focal point for the processing of TV5 taskers and ensures that responses are provided on/before the due date. Prepares binders/books for the Branch Head/Deputy with information relating to their daily work schedule. Designs, develops and implements the Office Administration Standard Operating Procedures (SOP) to provide improved contingencies for effective and efficient office admin services for approximately seven customers and staff within the current rating period. Setup conference rooms for all VTC’s weekly staff meetings, or any meeting facilitated by the N2/N6FP1 staff within a day’s notice from Branch Head/Deputy Branch Head. During the last 12-months, effectively managed to execute the matters when new employees check-in on board inn N2/N6 for security matters. My work has resulted in better communication between the N2/N6FP branch and other organizations dealing with security. Have also managed to keep up with the training for FP employees as needed for the division to include all security training. I inform the staff of training that is needed and upcoming training that is mandatory for FP employees. I do a daily walk through of the space to make sure security violations are happening within my space. I do a monthly Xerox count alone with a monthly Fire Extinguisher check. On a daily basis manage N2/N6 TWMS for N2N6FP1, N2/N6FP2, N2/N6FP3 and N2/N6FP4. I make sure that all is accounted for muster. I manage the calendar for N2/N6FP1B to include scheduling and setting appointments and events’ review of the next workday’s evening with N2/N6FP1. I schedule and set up meetings for branch and video teleconference/teleconferences. Perform admin duties including word processing. Receive/screen visitors. Team with N2/N6FP Front Office and Secretariat staff to ensure desk and phone is covered during normal work hours, to include breaks and lunch time. Return voicemail messages within 1 hour, or return to the desk. Keep voicemail functional and check it throughout the day. Submit trouble calls immediately to resolve problems with equipment needed to perform core functions. I fill-in/backup for the Division Head’s secretary in her absences. Play a visible role as Division/Branch NMCI ACTR assistant to effectively manage computer hardware and software resources. Perform routine maintenance on printers/copiers in my area. (Rm 1E275) Adhere strictly to OPNAV NMCI database validation requirements and deadlines. Stay on time of trouble calls when it comes to computer, printers and copiers. Maintain NMCE NET accuracy by setting up space for new employees’ arrival. Personally coordinate disposition of division/branch NIPR/SIPR computers. Ensure classified information and hard drives are removed for SIPR computers prior to returning to NMCI. Maintain N2/N6FP NIPR and SIPR distribution lists. Maintain a Ready Locker of office and printer/copier supplies. Establish supply inventory levels, based on historic or forecasted use and submit your inventory to the N2/N6 Supply POC. Liaison with customers to identify periods when extra consumables are needed and submit requests accordingly.
