Preparing plans for the purchase of equipment, services, and supplies.

Following and enforcing the company's procurement policies and procedures.

Reviewing, comparing, analysing, and approving products and services to be purchased.

Managing inventories and maintaining accurate purchase and pricing records.

Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.

Maintaining good supplier relations and negotiating contracts.

Position: Assistant Procurement Officer/ Head of Stores Duties:

Organize all procurement activities relating to request for proposals, sealed bids, and price quotes.

Correspond with vendors regarding prices, product availability, and delivery.

Tracking purchase orders for approval and forwarding to suppliers.

Review requisitions for completeness and accuracy; follow up on discrepancies with the initiating department identify available suppliers for each requisitioned item.

Ensure cost-effectiveness, quality and timely procurement and delivery of all supplies, services.

Negotiate fixed-price, cost-type, or incentive-type contracts.

Assistance with the preparation of Request for Quotation, Initiations to Bid, Requests for Proposal and co- ordination of their timely dispatch by email.

Process and appropriate document and forms for issuing the petty cash from the cashier.

Provide purchased materials to the responsible receiving office and do all actions for completing the process.

Maintain appropriated records to ensure that procurement process, decision, and contractual agreement are accurately documented for accountability and audit purpose.

Prepare weekly reports on purchasing and the status of the projects.

Maintain adequate stock levels to avoid stock outs.

Receiving and recording of stocks items from suppliers ensuring that all checks are done for quality, quantity, expiry date labels and statutory requirements.

Issue stocks as requested on internal requisition by checking items against stock levels on hand.

Maintain stock records and updating them.
