CURRENT DUTIES:

Procurement of institution needs through different methods which are request for quotations (RFQ), direct procurement & tendering depending on threshold, availability and urgency.

Preparation of tender documents and contract awarding

Preparation of procurement & asset disposals Standard operating procedures (SOPs).

Expediting orders

Preparation of an annual procurement plan & individual plans

Preparation of PRAZ monthly returns

Participating in organization asset disposal

Ensuring payments are made to outstanding suppliers

Ensure value from funds committed on goods or services procured

DUTIES AT LAKE HARVEST:

Procurement of raw materials, spares, consumables and services for the company

Ensuring an updated supplier database and rigorous supplier selection process.

Managing the procurement process to satisfy that procurement policies are adhered to

Reviewing the procurement manual to identify any areas which needs to be revised.

Ensure availability of stock items, inventory management of raw materials, work in progress (feed still in processing, fish still being processed) and the finished product.

Manage stock variances to ensure that there are no unaccountable losses of physical stock

Managing the three stores to include packaging stores, feed & raw material stores and fuel & lubricants stores

Monitoring product yields are within the tolerable range

Ensure goods and services are being procured as per organization policy

Ensure company procurement policy aligns with the changes in the business environment.

Getting value out of money in procurement through negotiations for long term supply, and building strong relationships to ensure quality, continuous supply and cost reductions.

Contract management to include contract review, administration and renewal

Cashflow management, allocating of payments in priority for the weekly funds available

Supervision of drivers, data captures and stores men

Truck routing and scheduling

Asset management

Plan the procurement activities of the University; and

Secure the adoption of the appropriate method of procurement; and

Prepare bidding documents in compliance with provisions of the Act for the design of contract specifications and the evaluation criteria; and

Prepare bid notices and short-lists; and

Manage bidding processes, including pre-bid meetings, clarifications and the receipt and opening of bids; and

Manage the evaluation of bids and any post-qualification negotiations required; and

Supervise the University’s Evaluation Committee and—

Ensure that the Evaluation Committee has carried out its duties in accordance with the Act; and

Receive evaluation reports from the committee and ensuring that they are correct and have been prepared in accordance with the Act; and

Prepare evaluation reports, including contract award recommendations, where the value of the procurement is less than the prescribed threshold; and

Submit all evaluation reports to the accounting officer, with confirmation that the procedure followed has complied with the Act; and

Prepare contract documents and amendments; and

Manage procurement contracts or overseeing their management; and

prepare such procurement reports as may be required by the accounting officer or the Authority;
