Key Tasks Handled.
Preparing request for quotation, quotations as per the customer requirements. Prepare delivery order, purchase order for the company, invoice costings, material submittals. Checking of customer feedback and keeping full data in the system. Preparation of LC invoice, LC delivery order, Bill of exchange for the LC submission. Regular follow up on payments.
Cordinate sales team by managing schedules, filing important documents, and communicating relevant information.
Respond to complaints from customers and gives after-sales support when requested. Syore and sort financial and non financial data in electronic form and present reports. Prepare claim report.
Handle the processing of all orders with accuracy and timeliness. Prepare shipment execution plan against signed contracts. Liaising with suppliers and customers to improve operational process and reduce cost. Ensuring timely arrival of shipments and finalize shipping documents. Maintaining the tracker and reports of on-going and upcoming shipments for the clients. Sending shipment status reports to client on daily in order to give accurate information regarding the status of shipments.
Analyzing the mode of customs clearance for shipments and undergoing preliminary formalities for duty paid and duty exemption .
Timely arrangement and monitoring of transportation in order to keep accuracy of delivery plans. Coordination with the accounts department in order to ensure the timely payment for vendors. Timely raising and submission of the invoices as per the contracts in order to meet the revenue prospects of the finance team as well as to maintain the smooth cash flow of the business. Coordinating with the shipper, origin agents, shippers local agents, shipping agents, and consignee for making solutions if we have any disputes for shipments. Intermediate for all the shipping (Sea, Air and Inland movements) activities which is taking place for the clients including the rate quoting whenever required. Coordinating with the heavy lift coordinator, port authority and shipping line for the direct receiving of the heavy cargo and planning the delivery schedule accordingly . Obtaining quotes for shipments and cost comparisons for using best logistics solution. Market Survey studying the market potential for various destinations/sectors. Studying the service pattern/rates of various Shipping lines and Airlines. Negotiating rates with Shipping Lines and Airlines for availing special rates/contract rates. Active follow up with Shipping Lines & Agents regarding mother vessel connection and releasing of containers at destination & Loading Port.
Co-ordinate with overseas partners for shipment updates and documents. Job Costing /Provisional Cost for every shipment -On-Line cargo Bookings. Customer service attending all the queries regarding Booking, B/L and Outstanding Balance. Sending out Routing Orders / Sales leads and follow up. Providing timely feedback to Customers to their Routing Orders and Sales leads. Imports documentation Sea/Air, Negotiating Rates locally and with agents abroad. Preparation of weekly /monthly performance report and reporting to Manger -Commercial. Maintaining Freight Collection/Outstanding, Register, active follow up of freight collection. Maintaining connection details register.
