Facilities Coordinator

Manage and maintain facilities in accordance with standard procedures to ensure staff are working in safe, presentable and well-maintained environment. Oversee maintenance and custodial staff, security systems, HVAC, furniture, technology, appliances and office equipment, review and process invoices for services. Follow up with vendors, staff and clients to ensure timelines are met. Facilitate moves, repairs, replacements, set ups / cleanups. • Effectively resolve daily facility requests and issues addressed by walk-throughs by coordinating with vendors or other staff members. • Serve as on-site lead for COVID pandemic, overseeing all functions across lines of business, building issues, PPE orders and inventory. Participate in trainings to ensure building safety planning.

• Coordinate and participate in facilities and real estate projects. Assist project team leader in preparing and maintaining projects plans, including documentation, budgets, implementation, training, communication for projects.

• Communicate with the Building Office regarding maintenance issues, forms and documents required from and for landlord, special requests for space, information on building security, including leading the emergency evacuation team and updating the plan information.

• Ensure hiring of top-performing staff by effectively interviewing, selecting, orienting, and training.

• Train new employees on local office policies and use of equipment and systems. Responsible to cross-train in other Office Services functions to ensure adequate coverage and assistance during peak times is available.

• Ensure daily checklist items are completed timely and accurately and issues are escalated when necessary.

• Oversee all functions of mailroom, including shipping and handling, equipment, furniture, supplies and IT technology distribution.
