Mail room Supervisor

I supervise a staff of eight employees and am responsible for the efficient daily operation of a mail room that directly supports over 3,000 U.S. Army Corps of Engineers employees and indirectly supports over 37,000 employees. I plan and implement the daily work activities of the staff and am the interface between the U.S. Army Corps of Engineers management and workforce on all issues related to the mail. I advise the workforce and management on the most efficient means of posting for time sensitive documents to locations world wide. I ensure that all mail is delivered timely and all outgoing mail is metered. I seek direct feedback from customers on ways to improve service and immediately implement any necessary changes to improve processes and mail delivery incoming and outbound. Customer inquiries received by email are responded to prior to the end of business day. I work with the mail room staff to see that the incoming mail is appropriately sorted for delivery to the intended recipient. The mail handled by my staff on daily basis is air mail, express mail,FEDEX,UPS, postal and inter office mail. I am responsible for assigning clerks for floor deliveries and pickups at all mail stops throughout over 20 offices spread throughout their a floor that is the size of an entire city block. I keep track of the clerks throughout their deliveries and make any necessary changes to workflow as workload requires. My staff is comprised of individuals with significant physical and intellectual disabilities who require my complete interest and attention. The excellent level of service my staff and I provide to the U.S. Army Corps of Engineers has been recognized by the Senior Leadership on many occasions. Scanning documents for review and process confidential and time sensitive documents. Ensure the highest level of customer care check scanned document prepared by other employees. On a daily basis I used the following software programs to complete my assignments: MS Word, MS Excel, MS Access and Voyager Integrated Library System. I handled periodicals, books and legal documents in the law library. I provided physical maintenance for the library, including filing and shelving materials, weeding and transferring materials to storage, and shifting, expanding and combing both the collection and department files as necessary. I checked library materials in and out to staff using an inter grated library system. I provided backup for processing cataloged material for circulation and shelving. I organized and maintained journal and reference collections providing bibliographic and monographic service. I received and routed periodicals and serials. I used the Online Computer Library Center (OCLC) automated system to locate libraries that carried particular books, journals, and newspapers. I responded to all document delivery/interlibrary loan requests submitted via OCLC. I used the commercial document delivery management system to record checked in and checked out materials and to post receipt of journals and article requests for the staff. I provided library runner service to other libraries for document delivery requests. I retrieved and delivered literature throughout the law library using the web based desktop electronic journal collection. I prepared purchase orders and renewals. I processed invoices and vouchers. I resolved and coordinated payment issues with the accounts department. I performed other duties including sorting and delivering library materials, and maintaining supply inventories. I ordered specialized library supplies for the department and I assisted research staff in literature searches, legal research and reference validation.
