Previous experience working with senior management, a comprehensive understanding of Georgia Tech’s organization, system, and processes.

Advanced knowledge and skills in executive office administration, including strong proficiency in organization, customer service and communications (verbal and written).

A thorough knowledge of Microsoft applications (Outlook, Word, Excel, and PowerPoint), a proven ability to work effectively both independently and in a team-based environment, an ability to handle confidential matters, and the ability to work independently on projects and anticipate and address issues in the executive’s absence.

Working knowledge and experience of administrative support processes required for an academic/research group within a higher education environment; interaction on a consistent basis with: academic administrators, faculty members, prospective students, and enrolled students. Included are skills in event planning, organization, multi-tasking, maintaining accounting records, document preparation, financial record keeping, report writing, communications, and records management. Use of basic and specialized business related computer applications.

PROFESSIONAL EXPERIENCE

Georgia Institute of Technology, The Parker H. Petit Institute, Atlanta, GA February 2019 – PRESENT: Administrative Professional Senior Major Responsibilities:

Serve as primary point of contact for the Petit Institute’s Administrative Offices receiving and accommodating office visitors and callers.

Maintain the Petit Institute’s calendars and keep the Assistant Director, Events Manager, and Administrative Manager informed as appropriate regarding upcoming appointments, meetings, events, etc. Coordinate with primary point of contact in and other relevant Institute units.

Coordinate travel arrangements for unit staff management and staff as directed; maintain related documentation.

Schedule and coordinate and/or facilitate large meetings and events for committees and groups in conjunction with administrative activities of assigned unit.

Expedite incoming and outgoing correspondence.

Maintain the Petit Institute’s Administrative Offices filing system including confidential files.

Coordinate unit purchasing necessary to maintain essential supplies. Track and manage purchasing activities.

Assist with content development and review for unit communications initiatives including websites updates and newsletters, and serve as unit representative to Institute Communications.

Responsible for arranging large, complex faculty, staff, and student events.

Develop and maintain assigned correspondence, promotional material, and other documentation related to bio-community efforts and activities.

Initiate contacts and respond to or refer business related inquiries received by phone or other means.

Prepare and manage department budget and process expenses. Generate associated reports.

Coordinate Payroll and HR related functions (time-keeping, PSFs, paperwork processing, etc.).

Manage data collection and sorting for $2,143,890 NIH T32 postdoc training proposal

Originate and process correspondence, reports and other documentation.

Compile, organize and analyze data for use in reports.

Develop and maintain databases and records management systems.

Review and resolve complex administrative related questions and issues; recommend new or revised unit administrative procedures.

Provide training and ongoing work guidance (may include supervision) to administrative staff members as required.

Makes certain that building maintenance functions (both routine and emergency) are carried out in a complete and timely manner.

Arranges for office moves within facility; ensures they are carried out as scheduled.

Maintains building access control system including card entry and office key management.

Makes arrangements for special events scheduled for facility.

Oversee/coordinate facilities shipping and receiving processes which may include mail distribution.

Monitor and maintain building security and safe practices.

Coordinate/oversee equipment maintenance within assigned facilities; coordinate schedule and provide required access as needed.
