Job details - Position as Receptionist at HospiceWits Houghton Nov 2015 – April 2018
I was employed at The Hospice in Houghton as the Receptionist and Volunteer Co-ordinator.
I managed the reception and the switchboard as well as the front office. I daily dealt with the following:
General Visitors and also visitors to the In-Patient Care Unit

On the premises there were 5 separate houses. I was based at the main house which was where the CEO and the MANCO team were based. I was responsible for screening and managing the visitors to this building and to the MANCO team. I assisted with meetings and conferences held at the main house, this may have also involved arranging catering for the meetings and training. I managed all the receipt of monies at the reception and the credit card machine.
The switchboard programming was managed through my desk-top computer and I had control of the complete management of the extensions on the switchboard, the upgrade and maintenance of the switchboard, the account code system for using the telephones.
I created invoices when equipment was hired out and sent out monthly invoices/statements to the family member on the status of the hired equipment account, ensuring payment of the account was received. I manage the hire equipment room, the inventory thereof and the repair and sale of excess stock.
I managed 3 different data bases for Volunteers: Students; Adults and Medical.
On the reception/volunteer portfolio I recruited volunteers to assist with day to day admin functions in the various departments throughout the organisation and also for fundraising events. I did this through the local gazettes, on line, social media and through the monthly newsletter. I managed the volunteer data bases and kept in contact with them through a monthly newsletter that I compiled and managed. I worked closely with the marketing department on events in respect of volunteers and their roles. I recruited volunteers for all the events and arranged training for them which was event specific. I worked mostly with student volunteers from high schools and universities. I would create an ad requesting for volunteers and send it through to various outlets. My initial contact was with the parent of the student. I liaised with the parents initially when recruiting and also when organising any training that was required prior to an event and making sure all indemnities were signed off. On the day of training I met the students. I arranged a Volunteer Appreciation event for all volunteers. I also recruited volunteers who worked in the In-Patient Unit in Houghton. I set up interviews with the Manager of the Palliative Services Department for potential volunteers. I did a monthly report for the CEO on the volunteer programme and submitted statistics on the volunteers that had come through the organisation on a monthly basis. It was my responsibility to increase volunteer numbers, to maintain and build trusting relationships with the volunteers and their parents, to train or arrange their training, to continually share knowledge about the organisation and its reliance and appreciation of volunteers.

The following were some of the functions I was responsible for:
Co-ordination of the road and rail movement in and out of the site, with careful control of tank capacities.
Drum filling of product, including the overseeing of the filling, receiving and dispatching.
Controlling the warehousing of drums with weekly stock counts.
Control of the tank bulk levels and drum floor stock.
Arranging lab testing of product leaving the terminal and product received into tanks.
Weekly audit checks on the bulk tank to monitor losses and gains.
Reconciliation of monthly movement reports.
Shipping control of all ships in and out the port. Monitoring of bulk tank stock in order to accommodate new ship arrivals, and planning of moving stock quickly should there not be enough space.
Tank transfers - Pipeline movement
Blending
Containerising stock and road/rail for export of product.
Liaising carefully with Portnet and the shipping agents to prepare for ship arrivals. The position was a very responsible position and the management of the customer’s product was managed together with the account manager.
