Systems and Payroll

• Manage and process the monthly payroll, as per HR policy, including but not limited to DTR accuracy, additions, deductions, leave management, review

attestation, visa processing and bank account

opening.

• Facilitate a welcoming and smooth transition for new joiners.

• Provide advice and guidance on the work permit

and visa process to employees.

• Liaise with the provider for employee queries

and claims as and when required.

Communication and Employee Relations

• Issue all required letters at the request of the employee (salary certificates, NOCs etc.).

• Responsibility of and management of all

employee passports. Obtain approval from the

Director before releasing employee passports

and maintain the passport tracker. Ensure

employee receipts are obtained for all passport

handover.

• Update all concerned departments of new

joiners and leavers by email notification.

• Interpret and advise employees on the required

labour laws and company policy and

procedures. Personnel Files

• Responsibility for and management of all

employee personnel files, electronic and hard

copy, as per HR policy.

Leaves and Work Absence

• Manage all employee leave and work absence, as

per HR policy, including but not limited to leave and absence tracking and approval, annual leave

planner preparation and announcement and leave

application management.

Leave and Work Absence policy. Company

Documents Compliance

• Responsibility for and management of all company documents including civil defence approvals, EJARI certificates, public liability and workmen’s

compensation insurance, tenancy contracts, pest

control agreements, fire-fighting agreements, trade licenses, KHDA, establishment cards and any other

company documents. Update tracker as required.

• Maintain all company documents files – electronic and hard copy. Forward all renewed documents to

the Front Desk of the relevant branch to update the FD documents file.

• Ensure all documents remain valid – renew all

documents before expiry to avoid fines/ penalties.

• Maintain all inspection reports and action on all inspection reports to avoid fines/ penalties.

Administration

• Responsible for the HR Masterboard – adding new

employees, removing exemployees, monitoring

employee transfers etc.

• Ensure compliance of all company policies and
