Reporting to Project Manager the Management of Pipeline/construction projects at Multiple Remote location. Administration & Payroll Responsibilities

Responsible for developing, Implementing and monitoring efficient office activities in addition to managing all correspondence.

Ensure to receive briefings on all aspects of construction from the responsible Line Managers.

Ensure that work standards and site rules are adhered to and that the company’s disciplinary procedures.

Responsible for all Kentz/Hired Directs & In directs Employees mobilization and timesheet updating on HRMIS Master System.

Responsible for timesheets & Daily attendance reconciling with files are being entered correctly for the project Employees and formatting reports and prints them for Project Manager Approvals.

Ensure that temporary facilities are being provided within Site office as well Accommodation & Organizing Site Establishments stock control on Site.

Responsible for all employees & Equipment’s are covered with valid Site Id’s/Gate pass/Aramco ID’s.

Mobilization of Vehicles- Pick Ups/Busses as per the project requirement and coordination of drivers.

Arranging the office setups and furniture’s, desktops for the New mobilized employees.

Provides excellent support, dealing with employees enquiries on both over the phone/Directly including Labors regarding their Leave entitlement/Schedules, Iqama (Residence Permit), Passport with Exit/Re-Entry Visas & Passport Renewal- India/ Filipinos.

Provides Hotel & Accommodation bookings, Travel Ticket bookings for employees for their scheduled leaves for both International & Domestic tickets.

Preparation of departmental and Project organization charts and types of reports as per the Management requirement.

Preparation of project employee’s Master summaries and daily workforce reports, Allocation sheets and weekly monthly/Manpower/Vehicles Equipment’s reports, Daily Absenteeism reports.

Preparation of monthly & yearly training status that reflecting each employee’s training overview consisting- done, due & overdue.

Saudization Reports & Petty Cash Responsibilities

Handled routine correspondence, Project Petty Cash Expenses, In terms of Site Materials for Pipeline/construction usages, Receiving/Issuing Invoices, Keeping collection ledgers, processing ID cards, preparing stock & submitting the complete Reports to Accounts Department for Re-imbursement.

Planning of Manpower Mobilization & Demobilization plan as per Site Manager/CM requirement.

Responsible to raise purchase request and obtain quotation for Vacation leave ticket as per entitlement and to ensure that it is signed accordingly.

Updating HR/Payroll system on confirmed vacation days

Co-ordinates Associates the exit process, in terms of ticket back-home booking, by raising PR, for final settlement as well as to ensure the completion of the termination check list by the person who is exiting the company.
