Job Description: Supply Chain Management

Demand Section

Duties:

Drafting Bid Documents

Attend Site Briefings and taking Minutes.

Update spreadsheets

Receive requests for procurement, ensuring all required details are submitted.

Check requests conform to the Departments Annual Plan

Complete the Invitation for the Quotation documents, ensuring all required SBD documents are attached

Send request to Technical BEC, if specification is of a technical nature, once approved, submit documents to the Acquisitions Section.

Acquisitions Section

Duties:

Rendering general clerical support services.

Provide help desk/ counter assistance to the public.

Check the submissions received from Demand is correct in all respects.

Source qualifying suppliers, from Central Supplier Database (CSD)

Ensure received quotes are evaluated in terms of SCM requirements.

Ensure Tenders Registers are completed at the set date and time.

Complete recommendation & depending on the amount of the request, submit to the relevant officials or BEC for approval.

Handle routine enquiries.

Attending to incoming calls.

Deal the with Public with regards to distribution of the tender documents.

Issue and receive bid documents.

Dealing with all enquiries relating to the completion of tender documents.

Compile and maintain records (for example assets records/database.

Identify redundant, non-serviceable and obsolete equipment for disposal.

Verify assets register.

Checking and issuing furniture, equipment and accessories for the components and individuals.

Keep and maintain the incoming and outgoing document register of the components.

Keep and maintain the filling system of the component.

Maintain assets register.

Logistics

Once approved by relevant committee, arrange completion of orders for onward transmission to the awarded supplier.
