Responsibilities as a Fleet Controller

• The renewal licensing of vehicles and change of ownership where necessary.

• The administration and registration of new vehicles.

• The administration and distribution of new, renewal, lost and stolen fuel cards.

• Tracking and route scheduling.

• Updating of the Fleet Management reports to relevant managers.

• Continuously updating the fleet register and driver’s licenses database.

• Assistance and relevant administration regarding the disposal of vehicles.

• Making sure the vehicles is safe and roadworthy.

Fleet Monitoring /Tracking

Each vehicle is to be checked to be on route and all operations are normal.

Reporting any deviations from the assigned route and making immediate follow ups.

Doing the Tracker self test to ensure that the tracker units are in working condition.

24/7 Recovery > Handling and reporting of Theft /Hi-Jacking situations.

Respond to all alarm warnings and statuses on vehicle to make sure that all is in order.

Handling any incident that may occur that is reported to the control room. Incidents include damage to vehicles, accidents, reckless driving etc.

Notifying the appropriate persons as soon as all the particulars of the incident are noted. (Responsible department /Local Authorities etc.)

Making follow ups on incidents continuously until they are resolved.

Maintaining constant follow ups and communication between all parties involved and noting all the information.

Handling of breakdowns should they be reported should be reported to the control room, and take note of all the necessary details and handed over to the correct people for further action.

Making hourly follow ups with the person who reported the breakdown. Once completed the breakdown report is to be completed and e-mailed to all the parties concerned as well as to the workshop.

Noting and reporting faulty tracking units and making arrangements with the appropriate people to immediately repair the unit/s.

Capturing odometer readings on a daily basis.

Doing live tracking on all trucks to ensure service efficiency.

Ensuring that the daily productivity is to be completed.

Assisting on all fleet queries.

Obtaining movement report and driver error reports.

Ensuring that driver ID tags are up to date.

Preparing daily, weekly and monthly reports.

Ensuring that the fuel consumption is within the set standard.
