DUTIES & RESPONSIBILITIES
Ability to stand-in the absence of the General Manager to ensure smooth flow of operations by coordinating with relevant departments and acting as back-up and provide accurate and detailed report of events and actions taken to the Project Managers/Department Heads and to Upper Management. Perform assigned task with minimum supervision in timely and efficient manner. Serve as a Liaison of seamless information and project flow between Employees, Suppliers and Clients. Manage schedules of higher-level executives and management, setting appointment, or travel reservations. Screen and distribute telephone calls, correspondence & emails without delays and efficiently. Format information for internal and external communication – memos, presentations & reports.
Human Resource Support
Responsible for all recruitment activities, HR practices and policies, boarding of new staff, disciplinary action and performance management, processing applications, verifying employment, separation, contracts and compensation schedule in compliance with company policies, contracts, laws and agreement. Assist in the smooth running of the Human Resources Department by ensuring competent & timely execution of the assigned tasks. Provides support and engage with our employee concierge.
Ensure the day-to-day operations of a company managed effectively and efficiently. Store, manages and track all company / project document and ensure the confidentiality, accuracy, quality and integrity. Help companies adhere to record retention policies, safeguard information and retrieve data more effectively and ensure filing systems is maintained accurately. Scan, organize and maintain documents, adhering to the company’s document life cycle with the records retention schedule procedures and archive inactive records. Control of all incoming and outgoing correspondence & maintain electronic data system and filling system and responsible for the distribution.
