In Charge of Stores (Storekeeping) for Raw Materials, Components, Consumables
& Maintenance Items
Inventory Section:
Material Purchase requisitions receiving from various departments. Processing the purchase request for material purchase, fixing levels for consumable items after getting recommendation from various departments. Maintaining safety stock.
Receipt Section:
Material Inward Note preparation, receiving material at stores, inspection reports preparing for end – users inspection. After acceptance of such item, material receipt cum inspection report is made to financial department for making payment to party. Material idenentification tag is made and handed over to Holding Stores. If the material is rejected, it is tagged and kept separately. Intimation given to Purchase department to take up the matter to Party and expedite for appropriate replacement for the rejected material.
Material Binning:
Materials received in receipt section of our stores are subsequently handed over to holding stores after acceptance.. Once the item binned, the location should be keyed in computer for the traceability of the materials. If it is a high value item, it will be binned in the visibility of the Storekeeper.
Preservation of Materials:
Material preservation is an important activity in stores. According to the recommendation, items were preserved to avoid obsolescence. For example, if it is a Sensitive item or rubber item, they shall be kept in air conditioned atmosphere to avoid from dust and heat respectively.
Shelf life activities:
Recommendations from vendors regarding the shelf life of specific item like rubber items, batteries, insulation tapes, raw materials were received. The shelf life of such items is fed in system and an identification tag is made in that item to issue it in first in first out basis. Periodically, a report regarding shelf life item is generated in system for every month that gives details about item going to expire after one month. Intimation is given to end user to release the items from stores.
Issue of Materials:
Requisition from end users to issue materials that contains the code number, material description, present stock, required quantity, level, authorisation etc.,
Posting of Issues :
After issue of materials, each and every material requisition slip will be given a specific control number from stores and issued quantities are posted from their original stock in system. Each request copy shall be sent to finance department for evolving present store stock value.
Report Generation:
Daily Receipt report (MIS) is generated & mailed to Top Management with complete allocation of materials on Work order wise. Day wise report for Issues is generated from system and checked accordingly. Monthly stock statement is generated and submitted to Finance Department to achieve the stores inventory valuation accordingly. Each and every transaction will be checked and tallied.
House Keeping Activity:
House keeping activities will be done in both main stores and raw materials godown after every transaction. Moreover, house keeping activity will be done round the day to avoid dust and to prevent material from pests.
Scrap disposal:
Disposal of surplus and scrap materials.
