Objective Seeking a long term position that allows me to utilize my skills, experience and knowledge, individually and/or as a team member with fellow co-workers and management. Executive Legal Secretary/Legal Assistant Duties

Answer & delegate incoming calls on a multi-line telephone system (20+ lines); provide Receptionist coverage when needed

Answer incoming calls and transfer each according to individual situation and/or protocol

Create & send correspondence, client reports, billing statements, legal documents, various databases w/information pertinent to a particular job, etc.

Responsible for upkeep of supervisor’s and others’ calendars – schedule all appointments, meetings, depositions, trials, conference calls, etc. – maintain on daily basis

Make travel arrangements, including but not limited to: airfare, lodging, car rental, meeting room rental, large group accommodations for short or extended stays, etc.

Work directly with clients, other attorneys, court personnel, outside agencies of various types, etc., either in person, via telephone, or by e-mail

Work with Physicians, Nurses, Hospital Administrators/CEO’s and various medical professionals in a professional and courteous manner

Organize new client cases and upkeep files/databases in an orderly & efficient manner

Provide prompt and accurate work-product to supervisor, co-workers and clients

Assist in deposition and/or trial preparation

Enter, review, process and send out billing statements to clients, providers, etc. – Process expenditures, assign for payment to proper party and follow up on same for each individual case/client – monitor expenditures and negotiate cost-efficient contracts/agreements w/various vendors, hotels, car rental companies, etc., to benefit the client and the law firm

Track payment history for each client, contact if necessary Prepare and maintain reports tracking all billing and payment history.

Notify supervisor of incoming/outgoing status via monthly reports

Perform daily duties, including but not limited to: transcribe dictation and/or summarize reports – proof-read all forms of documents and/or correspondence, reports, etc. - receipt/review or create/send correspondence and various legal or other documents – answer & manage incoming calls – open/disperse daily mail – attend meetings w/clients/professionals/parties – maintain computer and/or hard copy filing and case upkeep – data entry – maintain calendar upkeep & deadlines – organize and maintain all applicable research & data - perform research – produce and send status reports as required by certain insurance or oil & gas corporation clients, etc. – type and/or create necessary office forms and/or forms pertinent to a particular case

Able to make decisions and/or judgment calls independently by utilizing my training, experience, and protocol established with my supervisor(s), as well as personal initiative/thinking – Able to prepare correspondence, appropriate legal documents and/or memorandums and reports in the absence of my supervisor

Experience working with county, city, state and federal court personnel (clerks, judges, etc.) and I am familiar with Rules, filing procedures, etc., or know where to find same

Review and analyze documents, client contracts/guidelines, etc.

Program telephone system and make necessary updates/upgrades

Utilize various office machines, including but not limited to: single and multi-line telephone system – copy machine – fax machine – postage machine – Dictaphone/transcriber – scanner ten-key adding machine

Utilize knowledge of spelling, grammar, punctuation and legal and/or medical terminology accordingly.

Familiar with medical terminology, which was necessary in the case work of Medical Malpractice cases.

Familiar with QuickBooks payable and receivable business accounting.

I performed multiple office duties, including but not limited to, entering data to produce customer invoices, prepared monthly statements to customers, received inventory, maintained the inventory database, performed accounts receivable duties, including but not limited to, posting all customer transactions & payments, processing of all credit card payments, maintained filing, database tracking of all invoices, input data for accounts payables and set up check processing. Admit ER, Inpatient, Surgical and Pain patients, enter all medical orders for each patient, input charges, maintain medical records, answer incoming calls, correspond with physicians and all medical personnel, prepare and maintain all paperwork for each patient on an hourly/daily basis, prepare call schedule for the hospital and clinic, assist physician and nurses with various duties, prepare patient room assignments, and maintain medical information databases, in addition to various other duties. (Due to an emergency surgery in late September, I was dismissed due to being on the requisite City probation - which is one year- and having only six months on the job.)

Executive Assistant to Senior Law Partner – Frank D. Neville

My job was to perform the above-listed duties in an efficient and professional manner so as to keep Mr. Neville’s law practice running smoothly. I was responsible for maintaining Mr. Neville’s calendar/schedule, and for keeping him, and the Legal Assistant that he worked with, apprised of all deadlines, appointments, travel itineraries, court dates, etc. Areas of Mr. Neville’s practice included corporate, medical malpractice, mineral rights and environmental law. I also worked with P. Craig Silva, a Partner, who specialized in criminal matters, civil lawsuits, etc. I was used to interacting on a day-to-day basis with CEO’s and in-house counsel of large oil and gas corporations; physicians, nurses, hospital administration & personnel; and professionals of various other professions. I also corresponded on a daily basis with judges, clerks and staff in the 10th Circuit Court, federal, state, city and county courts, as well as attorneys from all over the world. I was responsible for monitoring and relaying what happened in the office, and for handling all clients, situations, etc., while Mr. Neville was on vacation or out of the office. I primarily worked for Mr. Neville, however, I assisted other attorneys when their secretary was out of the office, or trying to get work product out and needed assistance. While working for Mr. Neville, I created several databases in FileMaker Pro (i.e., case status, medical, expert, etc.) which enabled the information to be at our fingertips. I also prepared informative notebooks for each case for easy reference. I was learning to create and maintain spreadsheets in Excel and would welcome additional training/experience. There are many other duties that were performed in my 16 years of working personally with Mr. Neville, which can be discussed upon request.

In assisting the Receptionist (as back- up when she was gone, if my work load allowed) my job was to answer 20+ incoming lines and transfer the calls accordingly, as well as keeping track of 45+ employees and their schedules/whereabouts. I also greeted clients and other professionals - programmed the telephone system – outlined depositions – typed correspondence, reports, etc. – was requested by other Partners/Associates to do their work when their secretary was on vacation/sick and assisted all co-workers as needed.
