Project: King Saud Bin Abdul Aziz University (KSAU)

This 15.00 billion SAR Project is situated at Dammam Road, in Ministry of National Guard Health Affairs Riyadh Exit 32.

This project is consisting 4 phases (Administration Building, Children Hospital, Mental Hospital and Neuroscience Center)

high-rise buildings.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Responsible for plan, develop, implement, maintain a comprehensive Document Control System as per company

procedures and ISO requirements.

Responsible for maintain, process, control and administrate all incoming and outgoing documents

(correspondence, transmittals, specifications, drawings and submittals from the Clients, Consultant and other

contractor / supplier / vendor etc) in a systematic way to facilitate an easy reference at all time.

Responsible for manage of electronic records as well as hard copy records i.e. coding, indexing and labeling etc...

Upload and distribute documents to relevant parties in accordance with the document distribution matrix through

workflow.

Responsible for control & maintain the system for issuance recording/filing, tracking, retrieval of all documents.

Maintain and update logs to ensure accurate status of the submissions.

Ensure that all controlled quality documents related to the project are maintained to the latest issue, and that these

documents are made available at all locations where operations essential to the effective functioning of the quality

management system are performed.

Manage and monitor the use of various form set ups among team members.

Resolve conflicts between departments regarding control of the quality and assure the proper flow of information

through eliminating unnecessary activity, changing present forms, and adding new forms and work flow necessary

for the activities.

Coordinate all activities related to the document control procedure, including technical documents, drawings, and

commercial correspondence

Filing all hard copy documents in appropriate folders and keeping up to date drawing and document registers

Carry out routine document management administrative tasks including document release and publishing, technical

Follow up and expedite priority items with relevant managers, engineers, consultants and contractors.

Ensure that all obsolete documents shall be withdrawn and stamped Superseded if retained for record purposes.

professional way, as it can be easily recovered in the future.

Drive improvement to document control processes and procedures.

Project-: Al Falah Community-Villas, Abu Dhabi.

This 4.00 billion Dhs. Project is situated near ABU DHABI INTERNATIONAL AIR PORT. This project is consisting of

2020 luxury villas.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Responsible for handling all incoming and outgoing correspondences

Registering all incoming and outgoing correspondences, Drawings & technical submittals into the Expedition for

easy tracking.

Responsible to Control/Track/Issue HSE Department document documents like Daily Observation Report, Weekly

Inspection Report, Accident/Incident Investigation Reports, Missing/Lost Reports, Induction Orientation and

Employee Safety Equipment Issue Log/Forms, letters, Memos and MOM (Minutes of Meeting) etc.

Contribute to Companys continuous improvement in HSE performance and quality management by ensuring

safety, environmental and quality standards are maintained with the workplace.

Establish and maintain a QA/QC document control system. Set up an electronic data management system to suit

the Project requirements.

Responsible to Control/Track/Issue of complete Material Department documents like Material Issue Requisition,

This turnkey project is divided into 3 phases consisting of 1480 luxury villas parallel to Al Raha Beach.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Performed routine administrative tasks as required.

Attending / answering telephones and faxes.

Communicate verbally and in writing to answer inquiries and provide information.

Make and manage all types of incoming and outgoing Email, letters from client, consultants and third party

suppliers.

Prepares internal and external memo as advice from the Manager.

Keep safely sensitive & confidential documents and data.

Greet visitors, organize diaries, arrange conferences, meetings, and travel reservations for office personnel.

Provide support in a variety of capabilities, which may include Inventory, Ordering and maintaining stationery and

equipment supplies ensure timely procurement as per users requirement, and services.

Management System) like Primavera Contracts Manager, ACONEX (Web based Document Management).
