Coordinate/manage general office functions

Coordinate monthly team building exercises and luncheons. Monitor and order needed office supplies, while staying within budget. Coordinate with outside vendors for routine maintenance for general office upkeep. Participate in meetings and generate and distribute minutes. General accounting and budgeting

Quickbooks experience in bank reconciliations, AR/AP input and processing and report generation. Request and review credit references for new clients to determine credit worthiness and set credit limits for client accounts.

Accounts payable and receivable

Generated monthly statements for 300+ clients and posted payments on accounts received on a daily and weekly basis. Track accounts 30-60-90 days outstanding and follow appropriate procedures for collecting outstanding balances. Received invoices, reviewed against work performed and processed invoices for payments. Filed for court judgements and other collection measures when necessary.

Bid preparation and review

Responsible for receiving and tracking all RFP proposals received. Coordinated start up meetings to discuss RFP requirements, timelines, etc. Developed tracking sheet to facilitate information generation was timely and sufficient for submitting RFP’s on time. Generated RFP packages, choose contractors for distribution, received/ reviewed RFP packages and made recommendations for selection on commercial services.

General HR

Selected recruitment sites and services; reviewed resumes and selected best candidates for interview process. Scheduled and conducted interviews, ranked candidates on a pre-determined checklist and made recommendations for candidates to hire. Conducted new employee inductions, ensuring all required state and federal paperwork were completed and benefits were explained and appropriate forms filed. Worked with vendors during renewal periods to review existing benefit packages; made recommendations for additions/changes to benefits while being cost effective for the company. Mediated disciplinary issues, performance reviews, maintained employee files and participated in internal and external audits of HR records, policies and procedures. Reviewed employee handbook for compliance with state and federal regulations; revised policies as needed and trained employees on updates. Review, select and roll out health insurance annual renewals. Assist employees with changes to insurance elections and resolving billing issues. Submit and monitor short and long term disability claims and worker’s compensation claims.
