The incumbent serves as Secretary (Office Automation) to the Director, CSAT/DSI, the incumbent also serves as the Secretary (Office Automation) for two other branches within the division. The incumbent performs administrative and secretarial duties in support of responsibilities in both administrative and programmatic aspects of the Agency’s functions. Duties and responsibilities require a thorough knowledge of SAMHSA’s programs, organization, and staff. Responsibilities are as follows:

The incumbent has total responsibility for the secretarial practices and procedures of the immediate office and of support staff of subordinate division staff. Has regular meetings with other support staff and on own initiative, recommends changes in the Director's office.

On own initiative, recommends changes in administrative policies. Devises and installs office procedures and practices to be used by secretaries in subordinate offices. Prepares agenda for and conducts periodic secretarial training sessions for all secretaries to Division Directors. The agenda include training in all phases of secretarial work such as correspondence, telephone procedures, publications, directives, reports and public relations responsibilities.

Receives visitors and telephone inquiries, handles inquiries or based on knowledge of CSAT/DSI staff functions and responsibilities, refers them to appropriate other CSAT/DSI staff members or directs them to supervisor. These inquiries come from staff and officials of SAMHSA, CSAT/DSI, PHS and HHS; State and local governments, other domestic and international organizations, federal departments, and Congressional staff, the press and the public.

Exercises control over the Director’s appointments, with complete authority for commitments of time, also sets reminder for myself to help remind the supervisor of upcoming appointments/meetings. Screens all calls and visitors, answering most questions and completing most business involving established policy.

Screens memoranda, correspondence and publications and makes recommendations to Director regarding options. Receives internal and external mail for the Director. Answers and/or signs correspondence in the absence of the Director. Maintains files of all correspondence. Facilitates and tracks priorities by establishing and maintaining files.

Arranges conferences and local meetings for the Director and/or CSAT/DSI staff, which includes preparing agendas, notifying participants and arranging luncheons. Gets background information about all meetings and when necessary prepares written summaries of all meetings. Ensures all commitments are met and the Director is informed. Arranges travel for the Director and Staff. Carries out special projects for the Director and is timekeeper of the Director's office along with two Branch offices, sometimes for the entire division.

Maintains reconciliation records. Tracks expenditures and oversees all administrative aspects of procurement and purchases. Oversees and monitors progress of all personnel actions and maintains close contact with the Personnel office.

I currently use a variety of computer software programs such as MSWord, MS Outlook, MS Office, PowerPoint, and Publisher to extract and compile data using spreadsheets, prepare forms and other materials, prepares final documents, such as memoranda, letters, reports, Congressionals, articles, speeches, abstract and other material as specified for the office. I print out SF-50’s to be put in original OPF still being held by the Department of Commerce, so they are really on e-OPF and also still maintaining a paper copy of the OPF’s that have gone out to be scanned. I send out OPF and make request for OPF’s to go to other agencies. All employees’s separating grade 9 and above, the OPF must be copied completely, in the event that the agency may say they are missing some information.
