Executive Assistant to the Chief Executive Officer and Sr. Vice President of Strategy and Board Liaison
This position provides primary administrative support to two executives in a $3.0 billion corporate headquarters.
Manage and compose all correspondence and communications into and out of the executive offices from various parties including member credit unions, Board and Committee members, staff, associations, and certain legislative and regulatory interests.
Extensive Board of Directors contact. Prepare, proof, and distribute monthly Board meeting packets (i.e. agendas, notices, minutes, resolutions, meeting books, etc.).
Attend monthly Board of Directors and Committee meetings, as well as weekly Senior Management Team meetings. Transcribe and distribute meeting minutes in timely fashion. (This position requires out of town travel).
Handle all Board and Committee travel arrangements for a group of 30 executives and their spouses (flight, hotel, ground transportation, meals, entertainment, etc.).
Manage CEO and Sr. Vice President’s calendars and independently schedule appointments. Arrange complex and detailed travel plans/itineraries and compile briefing materials in advance of all meetings.
Responsible for all arrangements at destination location for the annual Advisory Committee meeting which includes arrangements for 60 credit union CEOs and senior management from Alloya.
Project a high quality, professional image in all dealings with internal and external parties. Direct necessary efforts to encourage consistent standards and styles, business plans, product plan proposals and other forms of communications within the organization.
Plan and execute programs, events and conferences by arranging for facilities, catering, air and ground transportation; disseminate information and invitations, coordinate speakers and control event budget.
Serve as the focal point for all administrative issues within the Office of the CEO and continuously improve and problem-solve administrative functions and processes within the organization.
