Executive Assistant to CEO
AIG is an American insurance & financial services organisation operating in 90 countries
around the world. The CEO for London is typically appointed for 3-5 years before relocating
to New York HQ. My responsibilities changed according to current objectives and
requirements so I have included a summary of general duties and specific projects
undertaken.
• Maintained a flexible modus operandi, rapidly adapting to the preferred working style
of each executive
• Intensive diary management of executive’s calendar, rescheduling appointments and
tasks at short notice to deal with shifting priorities
• Maintained complete confidentiality when dealing with highly sensitive and
confidential communications both internally and externally
• Worked with the company secretary to assign dates and locations for board and
committee meetings and regular meetings with the FSA
• Arranged meetings, lunches & dinners for internal & external attendees
• Arranged detailed travel itineraries including flights, hotels, cars & meetings
• Obtained briefing notes & information required for executive’s meetings
• Prepared executive’s transport requirements for the executive’s chauffeur and liaised
on a daily basis to update changes
• Monthly reconciliation of executive’s business expenses
• Booked personal travel for executive & family and on some occasions executive
would advise which city he wished to visit leaving me to book flights, hotels, transit
transportation and research local places of interest & restaurants etc to visit
• Acted as a contact point for senior visiting executives and assisted in organising New
York meetings & forums being held in London office
Projects
• Member of the AIG team responsible for organising AIG Board of Directors
meetings in London. The team comprised of London and U.S. staff and my key
responsibilities included:
• Transport and security - working with the corporate flight department, executive
transport companies in London and the Board’s security team.
• Hotel accommodation in London
• Restaurants & dinner venues
• Organisation of industry cocktail reception & dinner
• Preparation of Board presentation packs & briefing materials
• Sole administrator for many company entertaining events including a corporate
box at Epsom, corporate hospitality at Premier League football clubs, The Albert Hall
and AIG shooting parties.
