Assistant General Manager

Responsibilities included:

Assist in the management of a Class A Commercial Building consisting of approximately 400,000 square feet located in San Mateo.

Develop and maintain positive client / tenant relationships.

Maintain role as primary / secondary contact to tenants relative to tenant service requests. Proactively meet with tenant representatives on scheduled basis.

Communicate regularly with Property Administrator, providing necessary support and information.

Assist in preparing and executing budget.

Assist in preparing all monthly financial reports.

Prepare manual tenant billing adjustments.

Prepare monthly rent statements and assist in collecting all rents due under lease agreements.

Manage and oversee all service contracts and vendor relations, as directed by GM.

Ensure emergency Evacuation Procedures and fire life safety systems are updated and in effect.

Prepare aged receivables reports. Work with tenant, GM, and accounting to resolve aged delinquency issues.

On a weekly basis perform janitorial walks.

Responsibilities included:

Assisted in the management of a portfolio of Class A Commercial Office Buildings consisting of one (1) million square feet located in Redwood Shores/San Carlos.

Provide administrative support to the Chief Engineer, Building Engineers, Property Managers and General Manager.

Prepare and distribute tenant rent statements and administer collection of A/R reports, aged delinquency report, rent rolls and accruals.

Ensure all tenant bill back work orders are closed and coded correctly prior to billing verification.

Manage move in/ out process from start to end with tenants and send standard “Welcome /Tenant Guide or “Move Out” email.

Prepare and process risk management incident reports involving the buildings and people.

Maintain and update employee, clients and customer contact database.

Tenant special event leasing and legal license agreement processing.

Follow monthly accounting close calendar and work closely with property manager to ensure all forms are submitted prior to the accounting close.

Responsible for coding invoices according to GL chart of accounts and approved budgets.

Accounting- Month End - Review and add necessary accruals. Review general ledger account credits and debit items closely. Reclass review for necessary reclasses.

Assist property manager with CAM, Operating, and Real Estate Expense report printing and review as needed.

Train new administrative assistants as needed.
