Duties

Conducting contract / site inspections and record any problems on a non-conformance report. Conduct an interview and record Minutes: Raise NCR's if appropriate in respect of problems or Complaints: Complete and Maintain a personal PR Chart as per ISO requirements ensuring Area Mangers do the same Ensure the area managers have up dated Job Descriptions on all their Sites. Ensure that the correct number of 2020 Visits are conducted by yourself and the Area Managers, Developing client relationships to ensure customer loyalty & superior service levels. Ensure that Customer Satisfaction Surveys are conducted annually, recorded, analysed and follow up unsatisfactory reports with the relevant clients as per ISO 9001 procedure/standard. Respond to client complaints immediately and solve problems in conjunction with the Area Managers. Uplift the image of the company to where the client views Red Alert to be the market leader. In cases of Client Contract conclusion carry out the demobilization process effectively Allocate new contracts to Area Managers and prepare in advance to ensure a smooth start up and continued smooth running of the contact.

The Operational Manager must be on site to the start of a new contract Arrange follow up meetings with new clients to gauge satisfaction, action required improvements Ensure the area manager has implemented all ISO & quality systems on site Recruiting of only the best qualified staff.

Developing all relevant levels of Operational Staff which includes assisting Area Managers with Clause 2.4 (Area Managers Job Description)

Managing the Operation staff in a way that leads to higher productivity and job satisfaction Identify Positive or Negative Behaviour and conduct the necessary discussions involving the AM's Appraising relevant levels of Operational staff continually. Implementing company policies and procedures.

Manage and motivate all Operations staff working below you including Cleaners Monitor the performance of all staff and identify areas where improvement is needed. Effectively conduct Exit In reviews

Ensure the availability of equipment / vehicles for new contracts and assist Regional Branch Manager with the purchase thereof

Monitoring the standard of equipment and ensure it is recorded in the relevant registers. Ensure compliance to all relevant legislation

Monitor Vehicles for any damages.

Monitor condition of vehicles and ensure the correct paper work / reports are completed and submitted to the Regional Manager

Ensure all staff driving a vehicle have a valid driver’s license and have completed relevant documentation

(Copies kept in the employee's files).

Monitor fuel consumption on all vehicles and ensure budgets are adhered to. Ensuring that the dress code for all Cleaners and managers is strictly adhered to and the condition of the uniform is up to standard (Uniforms issued to Cleaning Staff is recorded on the kit issue forms by the Area Managers and also, issued at the correct frequencies).

Ensuring that Cleaning Staff and vehicles project a professional image always. Uplift the overall image of the company to be the market leader. Represent Red Alert at meetings and Functions as required Developing and implementing new ideas and methods relating to the Cleaning Industry. Implement and maintain the ISO 9001 quality system and ensure the NCR System is effective Monitor ISO 9001 standards on sites and ensure complete compliance in all areas. Prepare for internal & external ISO 9001 audits.

Ensuring that all relevant documentation is completed by the operations officer in the case of an IOD. Ensuring that safe working practices are implemented and adhered to at all sites. Assist the Regional Manager with the necessary HS Meetings and appointments and activities of responsibility Assist and ensure that Area Manager wage related responsibilities as per the AM Job Description 3.1 to 3.16 Be available after hours when required to respond to any situation that may require your attention. Assist AM's to carry out additional once off work for clients as well as casual contracts or Reliever duties Assist in the delivery and collection of documents, mail and cheques etc from sites and other locations Assist AM's in searching and site incident investigations as required Produce reports when required
