Provide administrative support to Chief Executive Officer, President and Executive Vice President of Marketing, along with periodic support to others as needed. Began as a temporary position before being offered a permanent role in the company. Responsibilities included:
Exercise good judgement and confidentiality in screening telephone calls, email, mail, and inquiries to minimize interruptions to executive staff
Maintain Outlook calendars and contacts
Make travel arrangements for executive staff, as well as others for training, seminars, executive meetings, etc., and prepare/process/verify expense reports
Type/compose agendas, correspondence, presentations, and other corporate documents as requested, including shareholder books, board books, and contract/agreements
Support marketing (create/proofread presentations, proposals, organizational charts, and mailings)
Coordinate and set up meetings, conference calls, and inter-active meetings, including AV needs, food and beverage, for monthly staff meetings, sales meetings, yearly general meetings, as well as individual meetings
Plan corporate outings (including ticket distribution to employees and clients), parties, picnics, and dinners
