Input document data into the standard registers ensuring that the information is accurate and up to date.

Generate the various document control reports as required.

Typing of site documents, and follow up of all the site needs

Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable

Maintain updated records of all approved documents and drawings and their distribution clearly

Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy tractability.

Maintain the files and control logs as required by the project. Strategic Business Management (Participating in all project tenders )

Strategic review of all the tenders floated for participation.

Prepare and identify all set communication levels with all contractors and subcontractor’s participating in the tender.

Complete audit of all technical documents relating to the project such as Civil, Mechanical. Electrical, Piping, structural, Supports, and vendor documents.

Conduct due diligence of vendors participating in the project and incorporating the details for future management review.

Setting up of technical and commercial meeting with the contractors and subcontractors to ensure clear understanding of the project requirement.

Advice Senior Management and Corporate Office on Project Developments.

Liaison with Vendors, Contactors and Sub-contractors relating to compliance of reports and tender documents. Ensure timely submission & meeting of the project and tender deadline.

Preparation of third party Inspection reports

Preparation of the technical tender documents and submission of the same in sealed envelopes and through online Internet Portal.

Checking & verification of various company websites portals for tenders floated.

Preparing vendor registration documents for registration purposes.

Scanning of inspection reports for future verification & audit requirements & maintenance of the same in respective folders.

Co-coordinating and updating of ICV (In Country Value) in the system.

Scrutiny & scanning of websites of various manpower agencies for identification & downloading CV’s as per requirement of the tender document and converting the same into the Company format.

Project Co-ordination

Create internal teams to support project co-ordination and project management.

Clear understanding of project tools such as EDMS and other project suites.

Correspondence with contractors and ensure Drawings/Quotations/Estimates etc. are received in time and ensuring availability of all relevant documents at sites.

Complete QAQC of the project and ensure its compliance in all aspects of the project management

Monitor accounts payable and accounts receivable to ensure transaction payments are made and collected timely.

Create, assemble and present applicable export documentation required as per country specific destination in accordance with export laws and regulations.

Submit timely document instructions to freight forwarders, independent surveyors and other third party industry providers.

Verify sanctioned party screenings prior to release of export documents.

Maintain export files in an organized and catalogued system.
