PROFESSIONAL EXPERIENCE

Sr. Financial Officer/Administrative Assistant August 1980 – July 2015
Assist the Executive Director and Chief Financial Officer in planning and formulating and coordinating goals and objectives for implementing the program plan.
Assist the Executive Director with preparing and modifying documents, monthly reports for the Board of Directors.
Attend monthly Board of Directors meeting assisting the Board Secretary in taking minutes for the meeting.
Assist the Executive Director in determining, establishing and implementing administrative policies and procedures for program operations.
Create correspondence (memos, letters and presentations).
Served as the personal assistant to the Executive Director (duties included scheduling appointments and monthly department meetings, conference calls, and all other duties as assigned by the Executive Director in her absence.

Assist the Chief Financial Officer in the development of the budget, planning and other agency financial requirements for a annual budget of over $10 million.
Provides/review/approval/oversight in the absence of the Chief Financial Officer, as authorized and necessary.
Assist the Chief Financial Officer in determining, establishing and implementing financial administrative policies and procedures for program operations in the accounting department.
Ensures that semi-monthly payroll is processed accurately and timely to comply with Agency policies and procedures for over 300 employees.
Prepare payroll spreadsheet with employee name, hours worked, rate of pay and gross amount to be approved by the Chief Financial Officer.
Review personnel records to determine, name rate of pay and occupations of newly hired employees and changes in wage rates and positions of employees on payroll.
Directs compilation and preparation of other payroll data such as 401k, medical and dental deduction and other payroll related deductions/garnishments.
Compile and transmit 401k employee contributions/employer match on a semi-monthly basis.
Submit payroll taxes semi-monthly via internet.
Prepare all invoices with appropriate documentation for approval for payment.
Once approved prepare invoices for payment using the DACEasy accounting software.
Maintain files and documentation of invoices thoroughly and accurately, in accordance with agency policy and accepted accounting practices.
Attended weekly accounting meeting with the Chief Financial Officer and other accounting/procurement staff.
Request agency funds from Payment Management System (PMS).
Under the supervision of the Chief Financial Officer assisted in preparing W-2’s and 1099’s for all employees and vendors as deemed necessary.
Oversee the annual audit for the Texas Workforce Commission
Assisted the Chief Financial Officer in the annual agency audit compiling information as requested by the Auditor.
Oversee daily/monthly administrative duties of the Child and Adult Care Food Program.
