I am the only full time secretary, in this department. When new rules are made I am in charge of making sure all secretaries know how to follow through with these rules. I help patients as needed getting to test with the hospital. I break down the chart to go upstairs to the other units. I also make phone calls and page other doctors for the doctors in the emergency room. If the patient was discharge I file away the records into the medical records binder. When working as a C.S.A. I am the first person you see when you walk through the Emergency room lobby doors, so I have a smile on my face ready to assist you in any way I can. I also help patients get in and out of the cars, with wheelchairs and or stretchers. I check patients in, placing them in greet and then printing stickers and labels. Then I do the patients vitals, get a little more information and then if need print an old EKG. If the patient is pregnant, I fill out the sheet that goes upstairs to Labor and Delivery, with the vitals and GPA information. I attend monthly meeting in the committee Patient Satisfaction Committee. This year in 2012 I was asked to be on two committees. In the month of September I joined the staff satisfaction Committee also. I also attended all of the unit secretary meetings for the main hospital, which they also meet every month for an hour to talk about the system the floors use.

Assistant to the Vice President of the Emergency Room: I am only temporary in this position, until a replacement can be found for the full time position. I do payroll for 150 employees including the doctors pay, collecting and filing mail correctly, making appointments for Renee and interviews for positions in the emergency room, setting up appointments and meetings for the VP, director and Manager. I do travel request for staff to go to workshops outside of the Emergency room. I open and sort the mail to the right staff members. I also check the bank statements for the purchase card monthly, balance the purchase card and for the VP credit card. I am to help make sure Renee get to her appointments on time. Making and keeping track of staff files and records. Pick up checks from the cashier office, taking the mail to the mail room and placing in correct binds to make sure the mail goes to the right places, also while in the basement I collect subpoenas for the nurses and doctors that work in the emergency room. Once I have the subpoena’s I then have to call the nurse that the subpoena is for, make copy one for them one for me (in case they misplace theirs) and then place in their mailboxes. Answer the phones and screen the calls. Listen to the messages at least three times a day. I order the supplies need in the admin office, in the trauma office supplies, in the sane office, in the new unit observation, and for the transport for Riverside. I also order the supplies for food kept in the emergency room for the staff and patients on a weekly base. I do the birthday balloons to celebrate your birthday month with a balloon on the board, make the notes for a reminder to get your PPD/ FIT Test, then at the end of the month if you haven’t done this this I then get to call the staff member to remind them they must do this. Anniversaries, I make the signs if you are celebrating your anniversary with Riverside on some kind of cut out (December was lily pads) with your name and how many years with Riverside. This year Flu Shot was mandatory, I had to call and keep track of all staff members to make sure they all get their flu shot before December 31, 2012. I made a booklet for the staff that had medical reasons as to why can’t have the shot, or an area for religious reasons why not having the shot. I called all staff and sent out numerous letters in this matter. Other duties as assigned.
