Plan, schedule and manage all payroll activities for on time, accurate & error free processing of payrolls of all employees including top management up to the Managing Director.

Implement the company’s Compensation System covering all benefits and exemptions – medical reimbursement, gratuity, LTA and Mediclaim – complying with all relevant provisions of the law.

Enable employees in the higher slabs of income to obtain maximum tax exemptions permissible by structuring salary components according to CBDT guidelines.

Manage final settlement of employees leaving the service of the company. Verify all required documents and calculate pending dues, unpaid salary, incentives, bonus, gratuity & LTA. Ensure on time settlement and release of payments.

Coordinate customization of payroll systems and modification of software to meet changing requirements.

Manage the accounting of all payroll related activities using SAP ERP and Ex Next Generation accounting system.

Provident Fund Trust

Maintain all required documentation including member-wise PF balances, unit-wise & employee-wise monthly contributions and ensure reconciliation of monthly contributions with actual receipt of remittances.

Prepare annual cash flow statements and update & review monthly & quarterly cash flows for planning investments.

Coordinate with the Treasury department for making investments of the Trust Funds adhering to the prescribed patterns.

Project the income of the trust for the next 3 to 5 years with forecast of likely shortfalls in meeting various payment obligations.

Track money markets and keep abreast of fixed income interest rates and coordinate with bankers, brokers & merchant bankers to maximize returns from the investment portfolio.

Vet and authorize loans to members of the trust and ensure on time accounting of disbursement & settlement vouchers.

Ensure on time receipts of interest income and maturity proceeds and monitor cash flows to meet requirements of loans and settlements.

Coordinate with HR and P&IR departments for prompt on time settlement of the accounts of separated employees.

Assist employees in withdrawing PF funds, transfer to new employer of transfer from the previous employer.

Coordinate with RPFCs/Exempted Trusts for filing form 13 for transfer of funds.

Provide accounting of investments and MIS to the PF Committee of Trustees. Coordinate quarterly meetings of the Committee and maintain the minutes book.

Resolve all queries related to the fund and transactions from members, HR and P&IR department, employee trustees and union representatives.

Coordinate with PF Auditors and RPFC Enforcement Officers for all audits and inspections.

Manage the filing of income tax returns and follow up for TDS refunds.

Supervise uploading of all transactions on the SAP CFM and Investment modules.

Superannuation & Gratuity Funds, Welfare Trusts and ESOPs

Manage the accounting of the trust, preparation of balance sheets, statutory audits and coordinate meeting of the trustees for approval of the accounts & maintain minutes of the meetings.

Coordinate with life insurance companies like LIC on all matters related to superannuation & gratuity funds.

Manage the submission & settlement of pension claims on account of retirement, resignation or death of employees.

Account for all member-wise advance and incremental contributions received by the company and manage refund claims from the fund manager like LIC and payback to the company.

Manage the process of stock options for all tranches and credit allotted shares to the employee’s Demat account.

Coordinate the investment of the surplus funds in ESOP & Welfare trusts.

Statutory Compliance

Calculate income tax of all employees including senior management and ensure deduction of TDS as per rules.

Ensure on time filing of returns like E-TDS, FBT returns and all payroll related statutory requirements. Issue Form 16 to individual employees.

Ensure compliance with statutory requirements for remittances and filing of returns for profession tax, ESIC, PF and Income Tax.

Provide all payroll related inputs including TDS, bonus, and gratuity and leave encashment for Tax Audit requirements.

Prepare the statement of remuneration of employees as per section 217 2(a) of the Companies Act.
