-Accounting Assistant

Create and Process invoices in a timely manner in order to coordinate with their arrival into our ports, respond to all emails from customers regarding invoices that were placed with estimated time of arrival. Notify Warehouse staff if a vessel is going to be delayed for miscellaneous reasons so the warehouse can make arrangements for perishable foods. Scan all documents into computer system to track status of invoicing in preparation for Accounts Receivable to email invoices to Vessel’s home company for payment. Data entry / filing

Answer all incoming calls, forward emails to correct department, reply to emails in a timely manner to vendors and customers.

Greet clients and employees coming into the office, have clients sign in and out, order office supplies for different departments as well as management. Scheduled Management meetings in the conference room, schedule department meetings in conference rooms.

-Boarding Representative

Board Vessels to collect payments, signed Bill of Ladings and Invoices. Return signed Bill of Ladings and Invoices to Accounting Department to complete invoicing processes, Answer any questions or concerns from the Vessels’ representatives regarding current and future orders.
