Jobs Responsibilities: -
In-charge in controlling overall documents such as Civil, Steel, Structure, Mechanical Piping, Equipment, Electrical, Instrumentation, including Vendors or Manufacturer’s spare parts and equipment drawings/ documents in projects
Perform data entry and record all engineering drawings and document packages as per the document control system database.
Filing QA / QC Documents, Test Packs, Safety Documents, Planning & Scheduling Documents and drawings as per document coding system.
Receive and sort out all incoming drawings and documents.
Responsible for distribution of all engineering related project documents and correspondence to internal departments, clients and sub-contractors.
Index the computer records regularly for easy tracking, tracing or searching of documents.
Generate index reports for drawings, documents and letters on a regular basis for use as needed.
Coordinate with subcontractors concerning document technical matters.
Manage the document control room, set up rules to safeguard documents to assure that there will be no missing and to maintain the complete inventory of documents.
In addition, monitoring and updating the monthly construction schedule.
Prepare correspondence with all clients and inter-office memos.

Work sheet issue to operation dept. for work order after supervisor’s approval
Control and circulate all work sheet as per instruction from supervisor
Collecting PSV &PVSV certificate and update index
Filing QA / QC Documents, Test Packs, Safety Documents, Planning & Scheduling Documents and drawings
Maintain Control log sheet & Prepare the Daily manpower report.
Review the status of piping, Flushing, Mechanical, electrical & instrumentation docs. etc.

Preparing Daily Reports for the Meeting.
Responsible to mail all process related circular.
Responsible for Collection of data from refinery and updating various Process report
Responsible to Send Report from Yanbu to the mother plant before the managers meeting.

Prepare MCB (Mechanical completion book) notice to PMT and Owner for Walkthrough Turn over the System.
Insert system related document for MCB, such as P&ID, Scope of work, Introduction and QVD (Quality Verification Document).
Joint walk through scheduling and coordinating with PMT, contractor and Owner before accept the system for punching.
Receiving the system punch items from PMT.
Remove all repeated and same meaning punch items from the received punch list of PMT.
Input all segregated punch items in to the punch list data in to System (SPF-Smart Plant foundation).
After final consolidation of all punch items, send it to the related discipline for the rectification.
Update one punch one sheet by SPF system, prepare the auto, daily status report and distribute to all department.
Daily meeting with each discipline for clarification of complicated punch items, and tally the punch list status with them.
Coordinate the punch originators to change punch category as per ITB punch definition.
Conduct punch meeting with PMT and Owner to expedite the punch completion as per the Mechanical completion schedule.
Quality Verification Document (QVD) received from the each discipline after complete of the inspection.
Received Quality Verification Document (QVD) upload to SPF system.
Prepare Daily report from the SPF system to show Management daily progress.
After the complete “A” punches and most of the “B” punches ready to issue MCA.
Before issue MCA 100% QVD should be cleared.
Submit the Final Completion package to the Owner for approval.
Prepare final data book and submit to PMT.
Filing QA / QC Documents, Test Packs, Safety Documents, Planning & Scheduling Documents and drawings as per document coding system.
Prepare the Construction Weekly Report & Project Monthly Progress Report
Review the status of piping, Flushing, Mechanical, electrical & instrumentation docs. etc.
Control sensitive (classified) documents & drawings for internal & external auditors.
Supervise & monitor the Document Control Department, Document Controllers & Assistant Document Controllers and assign activities to them.
Maintain filing of Mechanical Completion Dossier, Mechanical completion certificates & Turn over Notices with punch list reports.
Sub-System description/Limits P&ID’s and Consolidated status report for Sub System.
Index computer records regularly for easy tracking of documents.
Notify Project Control Manager or immediate superiors for all received Documents and Drawings; circulate the documents to related departments.
Update AFI’s Control log, maintain AFI and filing properly as per the discipline.
Review the status of piping, Flushing, Mechanical, electrical & instrumentation docs. etc.
Prepare various Charts
Supervise & monitor the Document Control Department, Document Controllers & Assistant Document Controllers and assign activities to them.
Update Income and Expense Statements & Invoicing.
Preparing Balance Sheet.
Maintain Scientific Filing System and Electronic Copies for Easy References.
Maintain Accounts Receivables and Payables, Prepare Accounts Statement.
