Executive Secretary to the International President
• Provide administrative support to the International President, General Counsel
and Chief of Staff of a mid-sized Labor Union
• Interact and engage with all levels of organization structure: Senior Officers,
Administrative Vice Presidents, Vice Presidents, Division Directors, Department
Directors, management, employees and dues paying members
• Maintain International President’s calendar, coordination and scheduling of
appointments, and meetings
• Office management and human resource responsibilities including but not
exclusive of: office equipment procurement, supervising support staff and
prioritizing their assignments, maintaining calendars for staff vacations, sick time
and personal time; continuous detailed updates to calendars, conference calls,
meeting conference room availability, luncheons, notifications and reminders of
events to all staff
• Assistance in the creation of and implementation of organizational policies and
procedures necessary to ensure that appropriate decision making protocols are
followed by staff
• Coordination of travel and hotel arrangements for International President and
Senior Officers and travel invoicing for staff
• Meeting planner – executive council and board meetings (three times yearly),
strategic planning meetings (two times yearly) and Quadrennial Convention (for
approximately 1,000 attendees)
• Preparation for executive council and board meetings, including tracking,
monitoring and following the progress of open action items, drafting the agenda,
setting the timetable and producing and distribution of accurate minutes of each
meeting
• Process/compose correspondence/reports for International President and Senior
Officers
• Handle confidential information in a professional and discreet manner
• Ensure that various administrative tasks are handled in an effective and efficient
manner, including reviewing all emails for International President (handling
issues when necessary or forwarding to appropriate Officer or staff for handling),
reviewing outside mail and faxes, screening phone calls and maintaining
executive files (both hard copies and soft)
• Coordination of internal office projects including paperless filing projects and
computer training sessions for staff
SKILLS:
• Proficient in MS Word, MS Excel, MS PowerPoint, Databases
• Excellent written and verbal communication skills
• Ability to stay focused, efficient and effective in managing multiple priorities
• Typing speed 85 wpm
