Executive Assistant to the Senior Vice President, Games Label Marketing
. Maintain calendar and schedule for extremely busy executive whose
meetings and conference calls were constantly changing. It is necessary
to prioritize her schedule and maintain flexibility to accommodate last
minute meetings and special requests from senior management as well as
her direct reports. Calendar management is made additionally complex
because her manager is based in Stockholm so time zone considerations
have to be taken into account for approximately 30% of the meetings.
There is a great deal of time-sensitive planning because of her
responsibilities as press liaison for EA Games and their release dates.
. Worked with corporate travel department to arrange domestic and
international travel. Trips are often arranged with only one day notice
so arrangements require speedy settlement of travel details regarding
flights, accommodations and other special needs (car service, hotel
meeting space, etc.). International travel can consist of visits to
several countries on a single trip as the corporation has offices in many
US, Canadian and European countries.
. Reconciled expense reports for the SVP and her direct reports.
Utilizing their online expense reporting system which is tied directly to
corporate card usage, I was able to clear past expenses and ensured that
current expenses were submitted for payment in a timely manner.
. Worked with Human Resources and Facilities for the on-boarding of new
hires. This included permanent and contract employees and required
coordination with the IT department to assure that the new employee had
immediate access to the internal portal and email identity and access as
well as ensuring that facilities provide the proper equipment (laptop or
desktop computer, monitors, software) so the employee could be up and
running on their first morning onsite.

is that the CEO prefers a hard-copy calendar so with the constantly
changing schedule, an email must be sent to add any new meetings to the
schedule.
