Spare Parts Specialist (m/f/d)
Bayer HealthCare Manufacturing is looking for a brilliant and strong Warehouse Mechanical Spare Parts Specialist.
He/She will be responsible for managing the technical procurement flow to ensure the timely and cost-effective acquisition of materials and services, according to material availability or specific request coming from Maintenance Operations Excellence team (MOE).
The role requires close collaboration with internal teams, suppliers, and systems to maintain accuracy, compliance, and efficiency throughout the procurement process.
MAIN TASKS AND RESPONSABILITIES:
Supplier management and quotation handling, asking for and evaluating quotes based on material availability or specific requests from the Maintenance Operations Excellence (MOE) team, selecting the best option based on cost, delivery time, and specifications, while maintaining active communication with suppliers to ensure alignment with company needs and resolve any delivery issues
Procurement process execution, creating and managing purchase requests (RDA) using SAP and/or SmartBuy, ensuring alignment with initial requirements, verifying the receipt of goods to ensure they meet quality standards and match the original request, and recording goods receipt in SAP or SmartBuy systems accurately and in a timely manner
Invoice and documentation management, processing and managing invoices using YourDocs, ensuring compliance with company policies, resolving discrepancies, and maintaining accurate and up-to-date procurement records and documentation for audit and reporting purposes
Material management, ensuring spare parts and materials are stored and managed effectively in the warehouse
Collaboration and compliance, working closely with internal teams to address procurement-related issues and ensure smooth operations, joining the Community of Practice (CoP) with spare parts colleagues from other sites in the network to drive assigned tasks or projects, and adhering to company policies, procedures, and compliance standards throughout the procurement lifecycle
WHO YOU ARE:
High school diploma and at least 3 years of experience in procurement, supply chain, or related field or Bachelor’s degree and at least 6 months of experience in procurement, supply chain, or related field
Experience in warehouse management and spare parts handling, with knowledge of technical materials and equipment used in maintenance and engineering is a plus
Proficiency in procurement systems such as SAP, SmartBuy, and YourDocs is a plus
Strong organizational and time-management skills to handle multiple tasks efficiently
Excellent communication and negotiation skills for supplier management, with the ability to work effectively in cross-functional teams
Attention to detail to ensure accuracy in documentation and compliance with procurement standards
Residence or domicile in Lombardy
Fluent in English and Italian mother tongue
