What will you work on?

The Office & Facilities Coordinator ensures the office runs smoothly, manages daily activities and is the first point of contact for all visitors. They are, above all, an organised and competent professional with great organisational and communication skills, comfortable dealing with people and able to carry out administrative duties with accuracy and speed. The goal is to ensure that office operations are efficient and add maximum value to the organisation.

How will you create impact?

Ensure the smooth, safe, and efficient running of the office, maintaining a clean, organized, and welcoming environment for staff and visitors

Act as the first point of contact for guests and coordinate meeting room bookings, setups, and hospitality for internal and external meetings or executive visits

In collaboration with the Regional Facilities Manager, Europe, oversee compliance with Health & Safety, Fire, and First Aid requirements, including inductions, risk assessments, safety checks, and record keeping

Liaise with the landlords and other external providers with regards to contractors, cleaning, maintenance, security, plant, and waste services to resolve any property management issues

Monitor and manage office supplies, mail handling, and subscriptions (e.g., licenses and permits)

Manage access control systems, staff security passes, and car park registrations

Support organization of office and corporate events, ensuring spaces and common areas remain clean, orderly, and compliant with safety standards

Raise purchase orders and process office-related payments as required

Perform regular inspections of office facilities, promptly addressing issues and maintaining an efficient, positive workplace environment

Undertake other administrative or facilities duties as directed by management

How will you fit into the team?

This position directly reports to the Regional Facilities Manager, Europe.

What are your skills and experience?

High school diploma or higher education

Proven experience in an administrative role or similar position is preferred

Good knowledge of MS Office

Excellent communication and interpersonal skills

Organised with the ability to prioritise and multi-task

Reliable, with patience and professional attitude

Pro-active with ability to work well without supervision

Attention to detail

Ability to work under pressure

Working knowledge of office equipment

Highly motivated; Excellent time management skills; Fast learner; Problem-solver

Fluent in English written and spoken is a must
