JOB DESCRIPTION
JOB TITLE: Specialist I
REPORTS TO: Manager
EDUCATION/EXPERIENCE:
1. Associate's degree in business administration, computer technology or related field
2. Two (2) years data processing experience
SUBSTITUTIONS:
1. High school diploma or equivalent with Data Processing Technology or related certifications may substitute for
associate's degree
2. High school graduate or equivalent with two (2) additional years in administrative assistant or data processing may
substitute for associate degree
KNOWLEDGE/SKILLS:
Intermediate knowledge MS Office as currently used by the Department
Intermediate knowledge MS Office as currently used by the Department
Ability to operate 10-key by touch
Ability to operate office computers and equipment
Ability to bend, lift approximately 30 pounds and stand for longer periods of time
SPECIFIC JOB DUTIES:
Collection Division: Applications
Create new application folders
Contact older taxpayers to acquire an update applications with proper signature pages
Collection Division: Batch Entry
Repetitive keypunching of sales tax returns and related documents in accordance with established guidelines
Work is reviewed for accuracy and speed of the assignments accomplished
Balancing daily work, sales tax, hotel/motel entry with Accountant
Collection Division: Mail-outs
Monthly processing and mailing of sales tax and hotel/motel returns to taxpayers
Assist in mailing sales tax returns, hotel/motel forms, applications and delinquent notices
Collection Division: Maintenance of Taxpayer Accounts
Mail follow up letters to taxpayers, sales tax form, correct remit address, etc.
Collection Division: Taxpayer Assistance
Responsible for assisting taxpayers over the counter with applications, payment of taxes, boat sales, issuing tax clearances, and any general sales tax questions
Compliance Division: Delinquent Accounts
Processing delinquent billing by printing, verifying, mailing to taxpayers, and scanning if applicable. Follow-up with contacting all taxpayers with 30 day delinquent tax notices
Assist with the collection of delinquent accounts
Communicate with delinquent taxpayers
Financial Division: Cash Management
Receives sales tax payments (cash, checks or money orders); Balancing
cash drawer daily and responsible for own cash
Administration: Retention
Purge and shred inactive taxpayer account folders yearly
ADDITIONAL DUTIES:
Collection Division: Incoming Mail
Assists in opening mail and data entry of tax returns when necessary
Collection Division: Laws
Review professional accounting journals, new regulations and changes in state and local law
Collection Division: Taxpayer Assistance
Greets guest at window in a professional manner
Field phone calls from taxpayers with questions on completing tax returns
Assists taxpayers in the filing of sales & use tax returns and occupancy tax returns
Compliance Division: Coordinate with Other Taxing Agencies
Works with other tax collecting agencies; including, but not limited too, local taxing agencies, Louisiana Department of Revenue, Louisiana Commissioner of the Office of Alcohol and Tobacco Control (ATC), and Office of Motor Vehicles
Compliance Division: Educate Taxpayers
Educate taxpayer regarding compliance with state statutes and local tax ordinances
Financial Division: Cash Management
Prepare Deposits
Administration: Policy Manuals
Develop, analyze internal processes and recommend and implement
procedural or manual changes
Administration: Retention
Scanning all applicable documents into the document storage in order to maintain permanent records as per the board approved retention policy
Maintains filing and files in appropriate manner as it relates to your position
Administration: Special Task
Performs all other duties as assigned by immediate supervisor or by Superintendent
