Job Description
We are seeking a highly organized and proactive "Executive Assistant" to provide administrative and operational support to management and various departments. The ideal candidate will have excellent communication skills, attention to detail, and efficient time management.
WORK SCHEDULE: Monday - Friday 8 am - 5 pm
SALARY: $14 p/h
ACTIVITIES:
- Provide direct support to management by coordinating administrative tasks and interdepartmental communication.
- Manage administrative documentation, contracts, forms, and records for clients and government agencies.
- Attend to and route requests from visitors, clients, and suppliers, ensuring courteous and professional service.
- Follow up on procedures with government agencies.
- Coordinate the use, maintenance, and cleaning of office facilities and equipment.
- Request quotes and coordinate services with maintenance or general service providers.
- Assist in the logistical planning of meetings, visits, and internal events.
- Handle physical and digital correspondence and maintain an up-to-date inventory of office supplies.
- Support other administrative processes assigned by your supervisor or management.
QUALIFICATIONS:
- High School Diploma. Associate's Degree in Administration or System Office preferable.
- Previous experience in executive or administrative support.
- Basic knowledge of processes and documentation before government agencies in Puerto Rico.
-Bilingual (Spanish and English), with excellent verbal and written communication skills in both languages.
- Proficient in Microsoft Office.
- Ability to handle multiple tasks and coordinate processes across departments.
