Job Description
Role Summary:
Oversees and manages all functions of the Shipping and Receiving Department, ensuring the efficient, accurate, and timely processing of incoming and outgoing shipments. Responsible for departmental process integrity, team leadership and development, and maintaining a safe work environment. This role focuses on departmental operations, individual and team development and performance, and interdepartmental coordination to meet customer shipping deadlines.
Role Expectations:
Responsible for managing daily shipping and receiving operations.
Leads department and operates in alignment with the company culture, policies, and goals
Ensures safety, regulatory compliance (DOT, OSHA), and proper training.
Guarantees accurate receiving and on-time, accurate shipping.
Maintains a clean, organized warehouse (6S/Kanban).
Develops, coaches, and manages the team and departmental staffing.
Creates/updates Standard Operating Procedures (SOPs) and job standards.
Monitors KPIs and drives process improvement.
Collaborates with other departments, warehouses, and contract molders for shipment scheduling and coordination.
General Responsibilities:
Directs and supervises the daily activities of all shipping and receiving team members, including order picking, packing, verification, loading, and unloading.
Ensures all team members follow all safety regulations, laws and policies, and regulatory requirements (DOT, OSHA), and all team members are properly trained in safety procedures, equipment operation (e.g., forklifts, dock levelers, pallet jacks), and in departmental processes.
Ensures all incoming materials are received accurately, inspected for damage, verified against purchase orders, and routed to the correct department or inventory location.
Guarantees all outgoing products are accurately picked, packaged securely, labeled correctly, and shipped according to department standards and customer deadlines.
Maintains an organized and clean warehouse, following and maintaining 6S standards and Kanban practices in place.
Manages departmental supplies, including packaging materials, labels, and equipment, ensuring adequate inventory without excess.
Develops, implements, and maintains standardized packaging procedures and specifications to ensure product integrity during transit, optimizing shipment efficiency.
Creates, documents, and manages clear job standards, standard operating procedures and work instructions for all shipping and receiving tasks.
Trains, coaches, and develops team members through the Shipping/Receiving Skill Matrix, utilizing established standards and work instructions, ensuring consistent adherence and understanding.
Continuously evaluates and improves departmental processes to enhance accuracy, reduce errors, and increase productivity.
Monitors key performance indicators (KPIs) for the department, such as on-time shipping, order accuracy, and receiving accuracy; reports on performance and implements corrective actions as needed.
Leads, mentors, and develops the shipping and receiving team, fostering a culture of accountability, continuous improvement, and teamwork.
Conducts regular 1:1 employee meetings and annual performance reviews, provides ongoing coaching and feedback, and identifies training needs for departmental staff.
Manages departmental staffing, including scheduling, time-off approval, and participating in the hiring process for new team members.
Collaborates with Supply Chain, and Customer Service departments to coordinate shipment schedules and priorities, developing daily and weekly schedules to meet on-time shipping requirements.
Works with Customer Service, Sales, Supply Chain, and customers to provide LTL and Truckload rates for shipments and coordinates the scheduling of trucks and carriers.
Communicates proactively with relevant departments regarding any potential shipping delays, material shortages, or receiving discrepancies.
Trains the shipping team on quality standards, oversees the inspection of all incoming and outgoing goods, communicates quality issues to appropriate parties, and properly isolates and tracks non-conforming inventory.
Participates with team in loading, staging, and receiving activities.
Ensures shipping team provides timely material handling by maintaining supplies and finished goods levels in the Custom Department.
Works with Operations Manager to ensure proper forklift and dock maintenance.
Collaborates with Supply Chain and supports efforts in managing inventory, assisting with cycle-counting and inventory activities.
Participates in and supports continuous improvement goals and activities.
Collaborates with other leaders and team members to solve problems and continually improve.
Performs other duties as assigned.
Minimum Education, Experience and Skill Requirements:
High school diploma/GED
Past forklift experience
Previous shipping/ receiving management experience
Ability to make sound decisions independently
Strong interpersonal and leadership skills
Competent computer skills with Word, Excel, Outlook, and ERP systems
Inventory control, material handling and cycle counting experience
Experience with using domestic freight carriers
Must have the ability to lift 50lbs
