Position Summary

The Project Coordinator plays a pivotal role in ensuring successful project execution, clear communication, and strong financial performance. Serving as the central liaison among Project Managers, vendors, clients, and internal teams, this role ensures alignment throughout the entire project lifecycle. Key responsibilities include governance, budget tracking, quality assurance, and client reporting, driving consistency and timely delivery across all initiatives.

Core Responsibilities

Proactively identify and resolve project obstacles; escalate issues when necessary.

Deliver timely and accurate updates to Project Managers and stakeholders.

Maintain comprehensive project documentation (contracts, submittals, change orders, closeout materials).

Coordinate effectively with general contractors, subcontractors, and clients.

Track and process subcontractor and client-directed change orders, ensuring accurate cost capture.

Support project scheduling and execution activities.

Foster strong relationships with subcontractors and vendors.

Adapt to evolving client standards and delivery expectations.

Manage travel logistics for project-related personnel and activities.

Assist in budget preparation and submission of financial documentation.

Monitor customer portals and ensure real-time updates to internal systems.

Track project assets and deliverables to ensure accountability.

Financial Impact & Performance

Drive financial results by identifying margin opportunities and under-budget efficiencies.

Align project activities with profitability goals and business objectives.

Collect and validate vendor material pricing to support job costing and client estimates.

Collaborate with Project Managers and finance teams to review budgets, monitor variances, and support forecasting.

Provide accurate financial data tied to project progress, billing, and reporting cycles.

Team Support

Lead preparation for weekly Open Job Review (OJR) meetings by compiling project updates and coordinating with PMs.

Maintain and audit internal project trackers and databases to ensure data integrity.

Coach Project Managers on documentation practices, tracker usage, and data quality.

Manage customer-facing job status trackers when delegated, ensuring accuracy and timeliness.

Contribute to standardizing project execution practices and reinforcing quality control across teams.
