Job Title: Receptionist Location: Rachuonyo, Homabay County Reports To: Site Administrator / Study Coordinator Position Type: Full-time, Contract Job Purpose: He/she will serve as the first point of contact for participants, visitors, and study staff at the clinical trial site.

They will be responsible for front desk operations including welcoming clients, managing appointments, responding to inquiries, and ensuring a professional and welcoming environment.

The role requires strong interpersonal skills, confidentiality, and administrative efficiency to support the success of the clinical study.

Key Responsibilities: Greet and direct participants and visitors in a courteous and professional manner.

Manage the reception area to ensure it is tidy, welcoming, and compliant with privacy protocols.

Receive and route incoming calls and messages appropriately.

Schedule and confirm participant appointments in collaboration with study staff.

Maintain the appointment calendar and alert relevant teams about expected participants or visitors.

Facilitate biometric registration and verification for participants at scheduled visits.

Manage participants visit reimbursements in accordance with study procedures, including recording disbursements and obtaining necessary signatures.

Ensure reimbursement records are accurately maintained and reconciled regularly with the finance or admin team.

Support participant check-in and flow to various departments (e.g., clinical, lab, pharmacy). Maintain a log of incoming and outgoing documents and deliveries.

Assist in managing files, printing, photocopying, and stationery requests.

Distribute communication materials, forms, or other resources to study participants as needed.

Respond to inquiries and direct individuals to the appropriate personnel or department.

Uphold participant confidentiality and handle sensitive information with discretion.

Provide excellent customer service, especially when interacting with study participants from diverse backgrounds.

Qualifications & Experience: Diploma or Certificate in Business Administration, Front Office, or related field.

At least 1 year of experience in a receptionist, front office, or customer service role.

Experience in a healthcare or clinical research setting is an added advantage.

Proficiency in Microsoft Office (Word, Excel, Outlook). Ability to speak local language is an added advantage Key Competencies: Professional appearance and demeanor.

Excellent communication and interpersonal skills.

Strong organizational skills and attention to detail.

Ability to multitask and work under pressure.

Respect for confidentiality and sensitivity to participant needs.

Working Conditions: Front-desk/office-based role with consistent interaction with participants, staff, and visitors.

May require flexibility in work hours to accommodate participant visit schedules.
