POSITION TITLE : ASSOCIATE III REPORTS TO: SENIOR SUPERVISOR
OVER-TIME STATUS: NON-EXEMPT PAY GRADE: 410/107
JOB SUMMARY:
Receives and routes incoming telephone calls to the Central Administration Office of the School Board and provides assistance to visitors; performs responsible clerical work; does related work as required. Work is performed under the regular supervision of Human Resources Specialists.
ESSENTIAL DUTIES:
Enters transactions into the MUNIS system;
Answers applicant questions;
Point of contact for substitute management system;
Operates standard office and personal computer equipment;
Conducts new hire pre-boarding and on-boarding ;
Performs general office duties under the direction of the Specialist;
Directs concerns to the appropriate individuals or offices by following the Chain of Command policy;
Provides employees with forms needed to transact business at the Central Office;
Maintains permanent record cards;
Maintains and updates filing system as needed;
Assists with recruitment registration and scheduling;
Assists with annual programs, such as Teacher of the Year Banquet, Retirement Banquet and United Way
Notifies building maintenance when necessary;
Receives and records accurate messages, ensuring that messages of a critical nature are forwarded in a timely manner;
Serves as backup Receptionist by greeting visitors and referring to the appropriate person;
Performs related tasks as required.
JOB SPECIFICATIONS/PHYSICAL REQUIREMENTS:
Thorough knowledge of standard office procedures and protocol; ability to operate multi-line telephone system; ability to speak clearly and to understand and follow written and oral directions; ability to operate standard office and personal computer equipment; good keyboarding skills in word processing, data entry and typing; ability to type accurately and at a reasonable rate of speed; ability to effectively manage multiple tasks simultaneously; good interpersonal communication skills with ability to handle difficult situations/individuals; understanding of public education administrative organization preferred.
This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken work levels; visual acuity is required for preparing and analyzing written and/or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities. The worker is not subject to adverse environmental conditions.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school; previous clerical and office experience. Human Resources experience preferred.
