Onboard Inventory Management:
Manage all onboard inventory across multiple storage areas on the vessels, including technical rooms, workshops, storage rooms, and other marine equipment areas. Ensure that items are stored correctly to minimize damage, facilitate easy access, and adhere to safety standards.
Establish and maintain onboard inventory processes that allow for efficient and accurate stock handling, including organization of items, labeling, and categorization to ensure easy identification and accessibility.
Ensure that all onboard inventory is traceable, implementing and overseeing barcode/RFID systems or other tracking technologies to ensure real-time visibility and accurate records of items onboard.
Track inventory levels onboard across different ship locations, ensuring that there is no stockout for critical marine equipment and supplies. Implement effective reorder alerts and replenish inventory when stock levels reach predefined thresholds.
Oversee the monitoring and tracking of long-term inventory onboard, ensuring that parts and supplies that are not frequently used are still accessible and in good condition, and are appropriately rotated or replaced.
Inventory Integration Between Shoreside and Onboard:
Coordinate inventory movement between shoreside warehouses and onboard storage locations, ensuring that marine equipment and supplies are delivered in a timely manner and that inventory levels are maintained at optimal levels across both shoreside and onboard locations.
Oversee the traceability of inventory as it moves from shoreside warehouses to shipboard storage, ensuring seamless integration and accurate data flow across systems.
Work closely with the logistics and procurement teams to forecast onboard inventory needs, ensuring that long-term stock is properly planned and replenished based on ship schedules, voyages, and equipment requirements.
Collaboration with Third-Party Providers:
Build and maintain strong relationships with third-party warehouse operators to ensure smooth inventory management, addressing any operational challenges or concerns quickly.
Coordinate with third-party providers to ensure that all long-term inventory management needs are met, including proper storage, handling, and periodic stock reviews.
System Traceability & Real-Time Inventory Monitoring:
Lead the implementation and management of real-time inventory monitoring systems to track and update inventory records, both shoreside and onboard. Ensure that systems such as MXP, ShipSure, or any other platform are effectively capturing all inventory movements.
Ensure system integration between onboard and shoreside inventory systems, allowing seamless updates and synchronization of inventory levels. Maintain detailed records of inventory locations, conditions, and status (e.g., in use, reserved, or available).
Regularly audit inventory to ensure that physical stock onboard matches system records. Address discrepancies promptly and implement corrective actions to improve inventory accuracy.
Onboard Storage Optimization:
Optimize onboard storage locations, working with shipboard teams to ensure that items are efficiently arranged, with high-demand items stored in easily accessible areas. Minimize wasted space and improve the overall efficiency of onboard storage systems.
Monitor the condition of long-term inventory onboard, ensuring that items are well-preserved and suitable for use, and conduct periodic checks to ensure that the onboard inventory does not age, degrade, or become obsolete.
Collaborate with shipboard teams to conduct regular stock rotations and implement strategies to ensure that older inventory is used first, reducing the risk of waste or expired equipment.
Cost Control & Financial Management:
Ensure that the costs associated with onboard inventory management are controlled, particularly around long-term inventory items that may require specialized storage conditions or shipping requirements.
Work with the finance team to track inventory-related expenses, ensuring that stock procurement, replenishment, and storage costs are optimized and within budget.
Manage inventory reconciliation for all onboard stock, ensuring that financial records are accurate and that cost discrepancies are addressed promptly.
Collaboration with Shipboard Teams:
Collaborate closely with shipboard personnel, including technical teams and maintenance staff, to understand the specific inventory needs of each vessel. Ensure that equipment availability is aligned with operational demands and the schedules of each cruise.
Provide guidance to shipboard teams on inventory best practices, ensuring that inventory is properly handled, stored, and always tracked.
Act as the point of contact for any inventory-related issues onboard, resolving challenges such as stockouts, damaged goods, or misplaced inventory.
Inventory Audits & Compliance:
Oversee onboard inventory audits, ensuring that accurate and regular physical inventory checks are conducted. Address discrepancies in stock and implement strategies for better inventory accuracy.
Ensure compliance with all regulations regarding the storage and handling of marine equipment, including health, safety, environmental, and maritime regulations.
Implement inventory control measures to ensure that critical stock items are never compromised, adhering to standards and regulations set by both the company and maritime authorities.
Qualifications & Skills:
Bachelor’s degree in business administration, Supply Chain Management, Logistics, or a related field.
At least 10 years of experience in inventory management or logistics, with a focus on marine equipment and onboard storage systems in a cruise line or maritime environment.
Strong experience in onboard inventory management, with a thorough understanding of marine storage practices and systems used to optimize space and manage stock.
Proficiency in inventory traceability systems, such as barcoding, RFID, or other tracking technologies, to ensure accurate, real-time updates on inventory.
Proven ability to work with third-party logistics providers and shoreside warehouses to ensure seamless integration with onboard inventory systems.
Strong analytical skills with a focus on cost control, financial reconciliation, and identifying opportunities for process optimization in inventory management.
Exceptional communication and organizational skills, with the ability to work with cross-functional teams both shoreside and onboard to ensure smooth operations.
Proficiency in inventory management software (e.g., MXP, ShipSure, Dynamics) and Microsoft Excel.
Financial Responsibilities:
Monitor inventory-related costs for onboard storage, ensuring cost-effective management of both high-turnover and long-term stock.
Track and reconcile costs for onboard inventory procurement, shipping, and storage to ensure adherence to budgets.
