Recruitment and HR Administration Officer Reports to: Business Manager Stockholm International School was founded in 1951 and has since inspired students from all over the world.

Today, we have students enrolled from more than 60 countries and offer a globally recognized academic program.

The school is located in the heart of Stockholm, with easy access to public transportation.

Due to the school’s growth, we are now looking for an additional member to join our team.

General Responsibilities: Recruiting Publish new job advertisements on SIS website, “Arbetsförmedlingen”, and other external platforms.

Handle and assist with the recruitment process by identifying candidates, interviews, and conducting reference checks.

Assist in the work permit application process & provide necessary relocation information.

Superuser of LinkedIn recruitment tool, ensuring it is used in an efficient way.

Employment/Onboarding Initiate the school onboarding process for new staff starting within the school year.

Issue employment contracts for all new, as well as prolong current staff members’ contracts.

Ensure that all HR-related documents are scanned and updated in the Hogia Personal platform.

Ensure that items in staff files are deleted within the rules of GDPR.

Ensure all staff have submitted the required documentation.

Set up new cases at Swedish Migration Agency for staff that need to prolong or get a new work permit.

Payroll Ensure that all statistics/reports required by Statistiska Centralbyrån (SCB) are submitted on time.

Ensure that pensions are reported to Collectum and Fora.

Serve as backup for the Payroll Officer.

Other Be part of the staff events committee (Sunshine Committee). Collaborate with the marketing department to strengthen our employer branding Manage the organization’s employee database and prepare reports.

Assist with Payroll and HR statistics.

Prepare the necessary documentation for the work of “Lönekartläggning/mapping”. Be the first point of contact for questions brought forward by employees related to “Försäkringskassan”, “Arbetsgivarintyg”, etc.

Required Qualifications & Experience: Relevant education in the sphere of HR and Swedish work legislation.

Experience of working with different HR processes.

Good communication skills in Swedish and English, both verbal and written (English is the working language). Ability to establish positive working relationships with colleagues, line managers, and other stakeholders.

Structured and proactive in work routines.

The ability to lead several processes at the same time.

The ability to take initiative and recommend improvements.

A pleasant and friendly personality.

Desirable Qualifications and Experience: Experience in Independent Schools Collective Agreement (Friskoleavtalet). Experience in Swedish Payroll processes and HR Administrations.

Experience in work permit processes.

Included in the recruitment process will be a local and national police check as well as a mandatory police background check from the last year of employment in every country worked.
