Provide complete co-ordination support to the MD with departments internally & externally, Schedule meetings, giving reminder calls/e-mails, Manage calendar, travel arrangements & documentation, making MIS reports, any other task as per MD's Instruction.:-
Manage and maintain the diary and email account.
Filter emails, highlight urgent correspondence and print attachments. Respond to emails as much as possible.
Conduct weekly diary meetings and discuss upcoming engagements, invitations and other requests.
Schedule and organize meetings and Conference Call between him and his direct reports and the committees and groups to which he is a member.
Plan, organize and co-ordinate functions and special events for the Vice President. Co-ordinate the Vice Presidents reservations and travel arrangements.
Filter general information, queries, phone calls and invitations by redirecting or forward such contact as and when appropriate.
Prepare correspondence on behalf of the MD, including the drafting of general replies.
Prepare Minutes of meeting and circulate the same to all concerned for a follow up or work to be done within time frame.
Keep and retrieve files.
Assist with the preparation of business presentations
Prepare and/or edit internal and external letters, faxes, and memos.
Required Candidate profile:-
Female (Married) with command over MS Office. 2-3 years of experience as an EA of a MD.
Excellent written and verbal communication skills and the ability to interface at all levels in the organization. Excellent Follow up Skills
Strong accountability and acute personal judgment - ability to handle confidential information and escalate issues when appropriate.
