Our key client is looking to add an Administrative Assistant to their team located in Houston, TX. They are a Fortune 500 energy company serving more than 3 million customers across the US. Summary:

· Works independently to perform a variety of confidential secretarial and administrative duties for the Retail Operations department, including the Retail Operations Leadership team.

· Requires broad, comprehensive experience and knowledge of company and retail organization policies and practices.

Responsibilities:

· Handles routine administrative questions, tasks and general office support.

· Coordinates arrangements for presentations, special projects, luncheons, meetings, and travel using Concur.

· Use of personal computer and standard software to draft, prepare, revise, and polish documents (reports, graphic presentations, spreadsheets, internal/external correspondence, merge documents, tables, payment requests, expense reports, organization charts, etc.).

· Gathers information and prepares responses to action items.

· Reviews, proofreads and analyzes documents to assure accuracy and conformance to company procedure before signature or release.

· Types, files, sorts, copies, prioritize, faxes, and distribute mail and documents for the group.

· Responsible for creating and maintaining departmental files.

· Provide confidential handling of personnel activities maintaining organization charts, staffing count, and contractor maintenance.

· Types, files, sorts, copies, prioritize, faxes, and distribute mail and documents for the group.

· Process invoices and employee expense reports in SAP for the group.

· Participates in and supports department and company employees in related teams, committees and organizations to accomplish special projects, company, and department goals.

· Schedules conference rooms and orders office supplies.

· Utilize MS Outlook, voicemail, and/or e-mail for distribution of information.

· Assist with coordination of office moves, system access, and telephone changes which includes appropriate paperwork and forms.

· Schedules appointments and maintains Directors calendar/contact database.

· Set the standards and inform the support staff on administrative procedures.

· Coordinate and monitor status of action items for multiple Directors and the direct reports and their support staff.

· In the absence of the Operations Supervisor, administer department affairs for Vice President.

· Assist in tracking monetary expenditure for all hardware and software requests.

Education:

· High School diploma, GED or equivalent required.

· Basic math, English, grammar, and punctuation rules are required.

· Certified Professional Secretary rating or one to two years of college preferred.

· E-mail and Internet proficiency.

Experience:

· At least one (1) year secretarial or relevant related experience required, requiring regular exercise of initiative, attention to detail, use of personal judgment and discretion without immediate supervision.

Additional Knowledge, Skills, and Abilities (KSA’s):

· Demonstrated proficiency with standard Microsoft products (PowerPoint, Excel, Word and Visio) to create documents, graphic presentations, correspondence; merge documents, spreadsheets, appointment calendars and reports.

· Graphic presentation proficiency is essential.

· Ability and willingness to convert to other company standard software as changes are made.

· E-mail and Internet proficiency.

· Must be able to communicate effectively and professionally (both verbally and written).

· Ability to prioritize tasks assigned by multiple sources.

· Strong organizational skills required with the ability to schedule and plan complex arrangements for meetings, presentations, travel and other special projects.

· Ability to accurately use mathematics for calculation of accounting forms, department reports and budget documentation.

· Ability to organize and maintain files, records and documentation, including appointment calendar for the group.

Working Conditions:

· Fast-paced open office environment.

· Overtime required as necessary.
