JOB DESCRIPTION

Job Title and Summary: The Data and Donor Services Manager reports to the Senior Manager – Fundraising and Communications, and supervises the Data and Donor Services Coordinator, the Donor Services and Retention Coordinator and the Sponsorship Coordinator. The Data and Donor Services Manager also works closely with the Digital Fundraising Coordinator to strategically optimise segmentation of email communications for maximizing inbox placement and optimization of donor lifetime giving value.

Under the supervision of the Senior Manager – Fundraising and Communications, the Data and Donor Services Manager is responsible for optimising the Raiser’s Edge Database and the Donor Portal (Declines Management) program, improving donor retention and recapture rates and designing and providing accurate reports on donations, success of fundraising initiatives and donor attrition. This role is also responsible for designing and implementing an audit program for all donor data

Key Responsibilities:

1. Data accuracy and auditing

a. Design and document audit procedures to ensure accuracy of donation data maintained in Raiser’s Edge

b. Ensure audits are performed quarterly and coordinate any data clean up that is required

2. Definition and implementation of strategies for data driven fundraising

a. Developing and implementing strategies to maximize lifetime giving value based on donor behavior as reflected in donor data.

b. Staying current with best practices in donor data management and donor data optimization.

3. Process development

a. Develop SOPs and maintain accurate documentation of all processes involved with Raiser’s Edge and other donation related activities

b. Perform annual audits of all SOPs to ensure accuracy has been maintained

4. Implementation Raiser’s Edge NXT

a. Work closely with vendor to manage the implementation of Raiser’s Edge NXT

b. Train relevant staff members in the use of Raiser’s Edge NXT

5. Reporting

a. Provide monthly reports to the Senior Manager – Fundraising and Communications with information such as:

i. Number and value of new, cancelled and active recurring gifts

ii. Number and value of one-time donations

iii. Performance of declines management program

iv. Income from and performance of non-digital fundraising programs

v. Performance of eAppeals and social media posts

b. Develop reporting mechanisms for trends in donations, such as average donation amounts, duration of recurring gifts, donation frequencies, etc.

6. Segmentation of donors for communications and cultivation

a. Contribute to the organisations effective use of electronic communications by creating queries as requested and managing the email opt-out process

b. Work closely with the Digital Fundraising Coordinator to optimise segmentation for continual improvement of email deliverability

c. Design queries to rank prospects to assist the Senior Manager – Fundraising and Communications in prioritising fundraising plans and activities.

7. Employee giving

a. Manage gift verification of donations coming through various employee giving programs

8. Donor relations

a. Provide assistance and guidance to direct reports to ensure exceptional customer care

b. Assist direct reports with the high volume of emails from donors and sponsors when required. This may include cancelling or changing donation details, and will involve working with the donor database and donation payment processors.

c. Provide assistance to non-native English speaking team members with donor communications

9. Other Duties

a. Provide leave coverage for other functions in the team, and participate in special projects as needed

b. Liaise with other departments when assistance from the fundraising team is required

c. Support onboarding and training of new colleagues

d. Ensure the security of private personal data per country specific requirements

Department and Supervisor: This position reports to the Senior Manager – Fundraising and Communications.

Skills and Qualifications:

1. Native English speaker essential

2. Prior experience with or aptitude in maintaining Customer Management systems (i.e. Raiser’s Edge)

3. Familiarity with payment processors such as Braintree and PayPal

4. Familiarity with Mailchimp

5. High level of attention to detail and computer literacy

6. Proficient in Microsoft Excel and Word; familiar with Google Drive and Google Docs

7. Excellent problem solving skills

8. Exceptional customer service skills

9. A passion for animals and animal welfare

10. Previous fundraising or non-profit experience would be an advantage

Location: Soi Dog Foundation, Mai Khao, Phuket, Thailand

Type of Employment: This position is full-time employment

• Five-day work a week 08:00-17:00 with two days off. (May be required to work weekend or flexible time depending on their duties as directed by their Head of Department.)
